ESSENTIAL DUTIES & RESPONSIBILITIES:
- Greet customers and provide a welcoming, professional service experience.
- Answer incoming phone calls, emails, and customer inquiries promptly and professionally.
- Schedule service appointments and communicate repair timelines with customers.
- Check in customer vehicles and gather detailed information regarding service concerns.
- Create, maintain, and invoice repair orders accurately.
- Communicate repair status updates between technicians, service advisors, and customers.
- Review completed repairs with customers and process payments.
- Assist the Service Manager and Shop Foreman with daily administrative and operational tasks.
- Monitor work in progress (WIP) and assist with workflow management.
- Assist with warranty administration, including claim follow-up, payment collection, and documentation.
- Support vehicle check-ins, pre-delivery inspections (PDIs), and inventory processing as needed.
- Perform daily payroll auditing and other departmental administrative functions.
- Maintain accurate records and ensure documentation is completed according to dealership standards.
- Provide outstanding customer service that reflects the Transwest commitment to excellence.
- Perform other duties as assigned.
WORK ENVIRONMENT & PHYSICAL ABILITIES:
- Requires frequent sitting, standing, balancing, bending, or stooping for prolonged periods of time.
- Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator, and other office equipment.
- Ability to communicate by providing verbal and written feedback in a professional manner.
- Normal range of hearing and vision.
REQUIRED EDUCATION, EXPERIENCE, KNOWLEDGE & SKILLS:
- High school diploma or equivalent required.
- Previous administrative or customer service preferred.
- Excellent communication and interpersonal skills.
- Strong organizational skills with exceptional attention to detail.
- Ability to multitask and prioritize responsibilities in a fast-paced environment.
- Proficient with Microsoft Office and general computer systems; dealership management software experience is a plus.
- Valid driver's license with an acceptable driving record.
- Ability to successfully complete a General Abilities Assessment and pass a post- offer background check, physical, and drug screening.

- Shift: 8am-5pm; Tuesday-Saturday
- Compensation Range: $21.00 - $24.00
- Reports To: Service Manager
