Job Summary
The Shipping and Receiving Clerk is responsible for coordinating and managing inbound and outbound shipment scheduling activities within a third-party logistics (3PL) environment. This role serves as the primary point of coordination for carrier appointments, dock scheduling, shipment documentation, and communication between customers, transportation providers, customer service, and warehouse operations.
The Shipping and Receiving Clerk ensures shipments are properly scheduled, required information is available, and warehouse activities are aligned to support efficient receiving and shipping operations.
General Duties and Responsibilities
Inbound (Receiving) Operations
- Schedule inbound delivery appointments with carriers, customers, and vendors
- Review inbound shipment details including product, quantity, expected arrival dates, and special requirements
- Verify inbound shipment accuracy against purchase orders or shipping documents
- Coordinate dock availability and communicate receiving schedules to warehouse teams
- Monitor inbound shipment status and update stakeholders regarding delays or changes
- Ensure required receiving documentation is available prior to arrival
- Label and route materials to appropriate storage locations
Outbound (Shipping) Operations
- Schedule outbound carrier pickups and transportation appointments and enter all pertinent information in the system
- Coordinate shipment timing between customers, carriers, and warehouse operations
- Verify outbound order readiness prior to carrier arrival
- Communicate shipment priorities, customer requirements, and special instructions
- Support on-time shipment execution by proactively addressing scheduling issues
- Prepare shipping documentation such as bills of lading and packing lists
Transportation & Carrier Management
- Serve as the primary contact for carriers regarding appointment scheduling and shipment coordination
- Maintain carrier appointment schedules and dock calendars
- Resolve scheduling conflicts and communicate changes effectively
- Support carrier check-in/check-out processes and appointment compliance
Documentation & System Management
- Enter and maintain shipment appointment information in WMS/TMS/ERP systems
- Maintain accurate records of inbound and outbound schedules
- Review shipping documentation for completeness and accuracy
- Prepare and distribute reports related to shipment activity and scheduling
Operational Coordination
- Communicate daily inbound and outbound schedules to warehouse teams
- Coordinate with Customer Service Representatives regarding order status and customer requirements
- Partner with Inventory Control and Warehouse teams to support efficient workflow
- Escalate issues impacting customer commitments or operational capacity
Customer & Internal Support
- Respond to customer and carrier inquiries regarding shipment status and scheduling
- Assist with resolving appointment issues, missed pickups, and delivery exceptions
- Provide timely updates regarding shipment progress and operational impacts
- Support continuous improvement efforts related to transportation and dock scheduling processes
Qualifications
- High school diploma or equivalent required
- At least one year experience in logistics, transportation, customer service, or warehouse administration
- Experience in a 3PL, distribution, manufacturing, or chemical logistics environment preferred
- Strong computer knowledge and Microsoft office experience
