Primary Purpose
Oversees all operations in the registration and enrollment process (record creation, class scheduling,
grade processing, and student enrollment verification, etc.) as well as attendance, truancy, community
outreach for scholar enrollment and recruitment.
Reports to and works with: The Scholar Accountability Clerk shall be directly responsible to
Administrative Support Services Manager at the District level and the Principal and will work closely with
the Office Manager and staff, Campus Administrative Team, Health Office, and Families and Scholars of
Leman Academy.
Duties and Areas of Responsibility:
* Responsible for scholar registration and enrollment for the current and upcoming year.
* Manage enrollment numbers and compile and forward reports as required by administration.
* Evaluate and verify documentation submitted as required for enrollment.
* Process and track withdrawals, print scholar withdrawal forms and grades in addition to
conducting exit interviews with families.
* Ensure Special Education and EL documentation and information is forwarded to appropriate
personnel.
* Manage 45 Day Screening process.
* Maintain scholar files and the permanent records as well as organize a disposition schedule.
* Responsible for obtaining and entering state compliant data as required by the Arizona
Department of Education.
* Reconcile scholar data between SIS and the Arizona Department of Education.
* Coordinate grading process, including verification and correction of grades and printing and
distribution of Report Cards.
* Prepare Honor Roll lists and certificates.
* Prepare reports for athletic eligibility as needed.
* Manage requests for records both incoming and outgoing.
* Create, print and distribute class schedules.
* Update enrollment information for all scholars in grades K-8 at the beginning of every school year.
* Facilitate the distribution and collection of annual forms to scholars and families. (for example
NCLB indicator forms and Impact Aid).
* Assist with daily attendance and maintain accurate attendance records. Responsible for Sign In
and Sign Out logs.
* Assist with and review attendance daily and make telephone calls to absent scholar families.
* Maintains attendance and discipline letters and communication with parents.
* Be an active participant in the school tour process.
* Process and track immunization records in conjunction with the Health Office.
* Maintain confidentiality per FERPA.
* Attend court proceedings when school records are subpoenaed.
* Support administration by performing other related duties as assigned such as general tasks
which include but are not limited to making copies, answering the phone, faxing, delivering
messages as necessary, checking scholars into and out of school.
Qualifications/Minimum Requirements:
- Minimum of a High School Diploma or general education degree (GED)
- AZ Level 1 IVP Fingerprint Clearance Card and background check.
- First Aid and CPR Certification.
- At least three years related work experience in a school system, with a working knowledge of
school organization and procedures.
- Strong verbal, written, and interpersonal communication skills to positively impact the school
community.
- Strong commitment to supporting the principles of excellence in education.
- Ability to manage conflict resolution with an attitude of humility and service.
- Working knowledge of Microsoft Office Suite products (Excel, word, etc.) and familiar with other
related software programs.
- Working knowledge of Information Technology related to Student Information System software
program –OR- a willingness to learn and effectively understand such a software program.
- Ability to work independently prioritizing tasks to meet deadlines maintaining a high degree of
accuracy and attention to detail.
- Ability to operate office equipment as required on assignment; i.e. fax machine, copier, computer,
etc.
- Ability to set-up and use an efficient filing system.
- Ability to compile information, maintain scholar records, prepare reports, maintain confidentiality
in performing assigned tasks, adopt effective courses of action, and deal effectively with parents,
staff, and the general public requiring knowledge of school policies and procedures.
- Ability to perform secretarial and administrative support functions requiring independent
judgment, decision-making and problem solving.
- Ability to lift boxes and packages of varying weights and move them to other locations.
