Office of Operations Lead Part Time (30 hours) Chicago, IL


The Office Operations Lead coordinates office operations, reception services, trainee support functions, and customer contact activities. This part-time position helps maintain a professional, organized and client-focused workplace by coordinating daily office activities and supporting efficient service delivery. The role also provides day-to-day guidance, training and support for work experience and subsidized training participants, fostering skill development and workplace readiness. 

  

Responsibilities: 

Office Operations & Workplace Support

  • Coordinate day-to-day office operations to maintain an organized and efficient work environment.
  • Coordinate internal office service requests and support day-to-day administrative operations.
  • Serve as a primary point of contact for routine office operations and workplace support needs.
  • Assist with communication of office-related operations and procedures.
  • Maintain consistency in workplace practices and operational procedures; escalate building-related issues to building management
  • Manage employee access and badge systems to support onboarding, role changes, and separations.
  • Manage office supply ordering and administrative purchasing.
  • Oversee and coordinate front desk reception and customer contact center coverage to ensure consistent delivery and efficient daily operations. 
  • Coordinate onboarding and provide day-to-day training, assignments and guidance for subsidized trainees assigned to office operations, reception, and customer contact center functions. 
  • Monitor subsidized trainee attendance and progress toward training objectives; provide coaching and feedback related to customer service and reception duties. 
  • Maintain documentation related to trainee assignments, schedules, and coverage.
  • Monitor customer contact center activities to ensure consistent service delivery and support trainee development; conduct periodic call quality checks to support service consistency in accordance with established guidelines.
  • Provide escalation support for customer inquiries as needed in accordance with established procedures.
  • Coordinate with program teams to support a consistent and professional call center environment.
  • Support outbound calling initiatives (e.g., surveys, outreach campaigns, follow-ups).
  • Serve as a liaison with customer contact center partners to align daily operations. 
  • Partner with Human Resources, Information Technology, and leadership to support successful implementation of office changes. 
  • Support coordination of office reconfigurations, relocations, and office improvement projects; assist with planning, communication, and staff coordination during workplace transitions, as needed

  • Adaptable, organized, and able to manage multiple priorities in a part-time capacity. 
  • Strong problem-solving skills. 
  • Ability to support training and process consistency across teams. 
  • Proficiency with Microsoft Office (SharePoint, Excel, Word, PowerPoint).
  • Knowledge of or direct work experience with employment/training and/or workforce programs preferred.
  • Experience supporting office relocation, remodel, or workspace transitions preferred. 


Minimum Qualifications:

  • Associate’s degree in business administration, communication or related field OR equivalent relevant experience. 
  • 2+ years’ experience coordinating office operations, customer service functions or administrative operations. 
  • Ability to travel occasionally to seminars, workshops, or other office locations as required for business needs.


Physical Requirements:

  • Ability to move throughout the office environment.
  • Ability to lift up to 25 pounds occasionally.

Salary Description
$21-26/Hour
