Admissions Coordinator
Description

Hyde Park Schools seeks a highly organized, people-loving Admissions Coordinator to support the Director of Admissions and guide prospective families through every step of the admissions journey. The role serves our Upper School (grades 9–12) today, growing to grades 7–12 next year as the middle school moves to the Quarries campus. The ideal candidate is a warm, detail-driven self-starter who keeps people, processes, and deadlines moving and brings structure and follow-through to a fast-paced, relational office.


Admissions is highly confidential work: we walk alongside families as they discern whether Hyde Park is the right fit for their child. The role also supports the Advancement team with larger school-wide events, and is full-time, including summers and some evenings and weekends when events fall outside school hours.

Major Duties and Responsibilities:

  • Manage and coordinate the full student application process from inquiry through enrollment, tracking each applicant's file, status, and next steps with accuracy and discretion.
  • Serve as a warm, responsive first point of contact for prospective families -  answering phone calls and emails promptly and professionally, and leading campus tours.
  • Respond quickly to new inquiries (within one business day) and keep families informed and cared for at every stage of the process.
  • Maintain the admissions and enrollment system and all applicant records -  keeping data accurate, current, and reporting-ready -  and prepare funnel, yield, and enrollment reports for the Director of Admissions and/or the Executive team..
  • Coordinate the logistics of admissions testing (ISEE), shadow days, parent interviews, and Admissions Committee meetings, including scheduling, materials, and follow-up.
  • Collect and track required application materials (report cards and transcripts, teacher recommendation forms, and records-release forms), following up promptly on incomplete files.
  • Help families navigate tuition, financial aid, and Texas ESA / affordability questions, coordinating with the appropriate offices.
  • Support the post-acceptance experience -  enrollment agreements, deposits, and welcome communications - to help accepted students become enrolled, thriving families.
  • Assist in planning and hosting admissions events (open houses, tours, and accepted-family events), and support the Advancement team with larger school-wide events.
  • Partner with the Director of Admissions on the middle-to-upper school transition to ensure a smooth experience for continuing and incoming families as the program grows to include grades 7–8.
  • Perform other duties as assigned.
Requirements

Qualifications and Qualities of the Position:

  • An active, professing Christian faith, with wholehearted agreement with Hyde Park Schools' statement of faith and a desire to model and support its Christ-centered mission.
  • 3–5 years of experience in an admissions or enrollment office, a school setting, or a comparable highly organized, customer-facing administrative role.
  • Exceptional organization and follow-through, with the ability to manage many details, files, and deadlines at once - accurately and with minimal oversight.
  • Comfort with data and systems: proficiency with admissions/enrollment software, spreadsheets, and reporting, and the discipline to keep projects on time and on budget.
  • A warm, welcoming presence and excellent communication skills, both oral and written, with discernment about what to communicate to different audiences.
  • Extreme discretion and sound judgment in handling confidential information about children and families.
  • A proactive, kind communicator who surfaces issues early and stays calm and solution-focused under pressure.
  • A genuine team player who supports the Director's leadership and the school's mission with initiative, humility, and a positive attitude.
  • Availability to work through the summer and some evenings and weekends, as many events fall outside of school hours.
