Position Overview:
Heartview Foundation is seeking a dedicated professional to serve in a dual role as OTP Receptionist and Health Information Management (HIM) Coordinator. This position provides essential front-line support for our Opioid Treatment Program (OTP) during weekday mornings, while also overseeing critical health information management functions to ensure the accuracy, security, and efficiency of patient records.
Schedule: Full-Time, 40 hours per week
- OTP Reception (12 - 18 hours/week, approximately): Weekday mornings, 5:30 a.m. – 10:30 a.m. (approx.), Weekend mornings, 6:30 a.m. – 9:30 a.m. (approx.)
- Every 2 weeks, rotating schedule. Week 1: work Monday & Tuesday, off Wednesday–Friday, and work Saturday & Sunday. Week 2: off Monday & Tuesday, work Wednesday–Friday, and off the weekend. Repeat.
- HIM Coordinator (22 - 28 hours/week, approximately): Remaining hours during the week to fulfill a full 40-hour work week. Decided upon by the supervisor and employee based on departmental needs.

This position is a full-time dual-role position combining OTP Reception and HIM Coordinator responsibilities. Applicants who are interested in only one of these roles are also welcome to apply for a part-time HIM Coordinator or part-time OTP Reception position, if available.
Key Responsibilities
OTP Reception (Morning Role):
- Serve as the first point of contact for patients, family members, and visitors—both in person and over the phone.
- Complete patient registration, check-ins, and appointment reminders.
- Process payments, maintain petty cash when scheduled, and update client demographics.
- Support insurance verification, medical record processing, and communication with admissions/clinical staff.
- Maintain a professional and welcoming reception area, including light cleaning as needed.
HIM Coordinator (Daytime Role):
- Maintain and update the electronic medical record system, ensuring accuracy and compliance.
- Track completion of clinical documentation, notifying staff of deficiencies.
- Manage scanning, auditing, and secure destruction of paper records.
- Oversee the release of information processes, ensuring accuracy and compliance with procedures.
- Process receipt of outside medical records and update patient files accordingly.
Qualifications
- High school diploma, GED, or equivalent required.
- Experience in reception, medical records, or health information management preferred.
- Knowledge of office software (Microsoft 365, Adobe, electronic health record systems) and strong keyboarding/data entry skills preferred.
- Excellent verbal and written communication skills with a professional, welcoming demeanor.
- If in recovery, one must have achieved a period of sustained abstinence and be able to demonstrate successful rehabilitation and stability.
