Position Type: Non-faculty, Staff, Non-exempt, Full-time

Typical Hours: 7:30 a.m. – 4:00 p.m.

Reports To: Office Manager

Salary Range: $26-$28/hour DOE

Your Role.

The Bear Creek School is currently seeking to add a member to our team! The Upper School Office Assistant serves as the welcoming face of the school and plays a vital role in creating a positive experience for students, families, visitors, and staff. The ideal candidate is organized, service oriented, and able to balance a variety of administrative responsibilities while maintaining a warm and professional presence. This position supports the day-to-day operations of the campus, helps ensure an efficient and secure front office environment, and serves as a trusted resource for the school community. Essential Duties and Responsibilities

  • Create a warm and inviting experience as the first point of contact for guests, students, and parents coming into the building
  • Provide exceptional customer service to all internal and external guests
  • Maintain a thorough understanding of the events and systems of the school to be a knowledgeable resource to constituents
  • Open and close the office daily
  • Operate phone system and maintain up-to-date voicemail messages 
  • Operate electronic entry system and ensure all visitors are registered in the visitor log
  • Keep front desk area and workroom stocked, clean, and orderly
  • Sort and distribute mail daily
  • Order monthly office and school supplies, or as needed
  • Operate and stock copier, fax machine, shredder, and other office equipment as needed
  • Attend and support select campus events as needed, which may include time outside typical working hours
  • Track student attendance in coordination with the Attendance Coordinator
  • Record campus attendance in Attendance Coordinator’s absence
  • Receive and organize student forms as needed 
  • Manage business ordering and reconciliation
  • Provide administrative support based on campus or division needs
  • Assist with emergency and drill preparation to ensure readiness for various scenarios
  • Maintain and update the emergency procedure binder, ensuring all protocols are current and accessible
  • Monitor security cameras to oversee the premises and report any suspicious activity promptly
  • Project work as requested by the Office Manager as needed and as time allows

Secondary Responsibilities

  • Provide backup in the Health Room (assisting students with mild symptoms, logging visits) in campus nurse’s absence
  • Assist with recordkeeping, database entry, and desktop publishing as needed
  • Manage administrative conference room calendars

  • None
Requirements
  • Hold CPR/AED/First Aid certification (with epinephrine autoinjector supplement) or obtain certification within 90 days of employment start date
  • Currently authorized to work in the United States for any employer (sponsorship is not available for this position)
  • Prior office experience preferred but not required
  • High school diploma required

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer
  • Must be able to lift up to 15 pounds at times
