Position Overview The Receptionist serves as the first point of contact for community members, partners, and visitors engaging with Xiente and the Department of Economic Mobility. This role is essential in creating a welcoming, organized, and supportive environment that reflects our commitment to expanding economic opportunity, strengthening families, and empowering individuals. The ideal candidate is personable, detail-oriented, and passionate about serving diverse communities. They also practice respectful etiquette with clients and staff members, is committed to full-time hours, has receptionist experience managing clients and families, and is ready, willing, and able to make an immediate impact when starting the role.
Key Responsibilities:
Front Desk Operations
- Greet visitors warmly and ensure they are directed to the appropriate staff or service.
- Manage a multi-line phone system, respond to inquiries, and route calls efficiently.
- Maintain a clean, organized, and professional reception area.
Client & Community Support
- Provide information about programs, services, and resources offered by Xiente and the Department of Economic Mobility.
- Assist clients with sign-in procedures, appointment scheduling, and basic intake forms.
- Demonstrate cultural sensitivity and trauma-informed communication when interacting with community members.
Administrative Support
- Manage incoming and outgoing mail, deliveries, and general correspondence.
- Support staff with scheduling, document preparation, data entry, and filing.
- Maintain office supplies and coordinate with vendors as needed.
Program Coordination Assistance
- Support program staff by helping prepare materials for workshops, events, and community outreach.
- Assist with tracking attendance, updating records, and maintaining accurate logs.
Collaboration & Communication
- Work closely with team members across departments to ensure smooth daily operations.
Requirements
- High school diploma or equivalent required; additional administrative training preferred.
- Prior experience in reception, customer service, or administrative support.
- Strong communication skills, both verbal and written.
- Ability to multitask, stay organized, and manage a fast-paced environment.
- Proficiency with Microsoft Office and basic office technology.
- Commitment to equity, inclusion, and the mission of economic mobility.
- Bilingual (English/Spanish) strongly preferred due to community needs. Must be able to speak conversational Spanish and be able to make appointments.
- Must be available to work full-time, Monday–Friday, 9:00 a.m.–5:00 p.m.
