What You'll Do
As the Physical & Occupational Therapy Authorization Coordinator, you will serve as the primary resource for therapy insurance authorizations while helping ensure patients receive uninterrupted care.
Responsibilities include:
- Obtain initial authorizations and re-authorizations for Physical and Occupational Therapy services
- Monitor authorization expirations, visit limits, and payer requirements to prevent interruptions in treatment
- Verify insurance benefits, including deductibles, copayments, coinsurance, and therapy visit limitations
- Respond promptly to urgent and same-day authorization requests
- Submit medical records and supporting documentation required by insurance carriers
- Coordinate peer-to-peer reviews and additional clinical documentation requests when necessary
- Enter authorization and benefit information accurately into NextGen and Clearwave
- Document all authorization activity according to established protocols
- Communicate authorization status clearly and promptly with therapists, schedulers, physicians, and patients
- Notify patients of anticipated financial responsibility when appropriate
- Monitor NextGen work queues and therapy schedules to proactively identify authorization needs
- Coordinate with Billing, Front Desk, and Therapy Services to resolve authorization or benefit issues
- Assist with outside therapy referrals when needed
- Provide backup support for Physical and Occupational Therapy scheduling, including evaluations, rescheduling, and no-show management
- Maintain current knowledge of Medicare, Medicaid, commercial insurance, Workers' Compensation, and automobile insurance authorization requirements
- Maintain compliance with HIPAA and all organizational policies

Required:
- Experience obtaining medical insurance authorizations in a physician practice, therapy practice, hospital, or other healthcare setting
- Strong understanding of insurance benefits, authorization processes, and payer requirements
- Experience working with electronic medical records and practice management systems (NextGen preferred)
- Excellent organizational skills with exceptional attention to detail
- Strong computer and data entry skills
- Outstanding verbal and written communication skills
- Ability to manage multiple priorities while meeting deadlines
- Experience providing exceptional customer service in a patient-facing or healthcare support role
- Demonstrated reliability, professionalism, and strong work ethic
Preferred:
- Experience with Physical Therapy and Occupational Therapy authorizations
- Experience with Medicare, Medicaid, Workers' Compensation, automobile insurance, and commercial payers
- Experience using Clearwave and NextGen
- Knowledge of rehabilitation scheduling workflows
Physical Requirements
- Primarily sedentary work requiring prolonged periods of sitting while working at a computer and communicating with insurance carriers, patients, and staff.
- Frequent walking between the business office and the Physical and Occupational Therapy clinic to collaborate with therapists, address authorization questions, and support patient scheduling.
- Frequent use of computers, telephones, and other standard office equipment.
- Occasional standing, bending, reaching, and carrying files or office materials up to 25 pounds.
