Lead Service Sales Coordinator

Responsibilities

  • Lead and mentor the Service Sales Coordination team, providing training and daily support. 
  • Coordinate HVAC preventive maintenance (PM) agreements, inspections, repairs, and emergency service requests. 
  • Prepare and process service proposals, maintenance agreements, renewals, and quotations. 
  • Maintain accurate customer records, contract documentation, and pricing information in the company's CRM and ERP systems. 
  • Monitor contract renewal dates and proactively coordinate renewals with Service Sales Representatives. 
  • Schedule technicians and coordinate service visits with customers to ensure efficient workflow. 
  • Work closely with Service Managers, Dispatch, Project Managers, and Sales Representatives to ensure timely completion of customer requests. 
  • Track service sales opportunities and assist with sales forecasting and reporting. 
  • Review customer purchase orders and ensure accurate billing and invoicing. 
  • Resolve customer concerns and escalate complex issues when necessary. 
  • Ensure compliance with company policies, safety standards, and contractual requirements. 
  • Identify process improvements that enhance operational efficiency and customer satisfaction. 
Requirements

  

Qualifications

  1. Associate or bachelor's degree in business, Management, or a related field preferred. 
  2. 3–5 years of experience in HVAC service coordination, service administration, or sales support. 
  3. Previous leadership or supervisory experience preferred. 
  4. Knowledge of HVAC preventive maintenance programs and service contracts. 
  5. Experience using CRM, ERP, and scheduling software. 
  6. Proficiency with Microsoft Office, especially Excel and Outlook.
