Role Summary


We are seeking a detail-oriented Accounting Assistant to join our team.  Prior experience with government contracting and/or consulting environments is a big plus.  The Accounting Assistant is responsible for executing high-volume, transaction-focused accounting  processes, with a primary focus on accounts payable, employee expense report administration, and supporting day- to- day accounting operations.  This role ensures that day-to-day financial transactions are processed accurately, timely, and in compliance with company policies and federal contracting requirements. The position works under the direction of the Senior Finance Specialist and Controller and plays a critical role in maintaining the integrity of financial data and supporting efficient finance operations.


Key Responsibilities


Accounts Payable & Expense Management

  • Process vendor invoices and ensure accurate entry into financial systems
  • Review employee expense reports for completeness, policy compliance, and required documentation prior to final approval and invoicing (if applicable).Verify completeness of documentation and escalate issues or exceptions as needed
  • Monitor and manage high-volume expense workflows, ensuring timely processing
  • Ensure expense processing aligns with company policies in coordination with People Operations

Transaction Processing & Financial Data Entry

  • Execute financial transactions accurately, including data entry, coding, and system updates
  • Maintain accurate and organized financial records to support downstream reporting and billing
  • Ensure consistency and accuracy of data across finance systems

Billing & Accounts Receivable Support

  • Assist with preparation of invoices and supporting documentation
  • Assist with billing support by verifying that supporting documentation and labor data are complete prior to invoice preparation
  • Assist with accounts receivable follow-up and collection activities as directed by the Senior Finance Specialist
  • Support coordination with Program Operations by ensuring required billing data and documentation are complete and accurate

Reconciliations & Data Validation

  • Perform basic reconciliations and data checks to ensure accuracy of financial records
  • Identify discrepancies and escalate to the Senior Finance Specialist or Controller
  • Support cleanup and correction of data issues as needed

Compliance & Documentation

  • Follow established accounting procedures and company policies to ensure transactions are processed accurately and consistently 
  • Maintain organized documentation to support audits, billing, and compliance reviews
  • Follow established procedures to ensure audit-ready records at all times
  • Assist in tracking and organizing insurance and compliance documentation as needed

Operational Support & Coverage

  • Support finance team workflows during peak periods, including expense, AP, and billing activity
  • Maintain vendor records and assist with vendor onboarding documentation
  • Provide backup support to other finance processes as needed under supervision
  • Assist with ad hoc finance tasks to support overall team operations

 

Requirements
  • 2-4 years of experience in accounting, finance, or a related operational role
  • Experience with accounts payable, expense report processing, and/or high-volume transactional work
  • Strong attention to detail and ability to manage repeatable workflows
  • Due to federal contracting requirements, candidates must be US citizens based in the US 


Preferred Experience

  • Exposure to government contracting (GovCon) environments and/or consulting/labor-based billing models 
  • Experience with Unanet and/or Paylocity


Additional Details

  • Works remotely (occasional travel for team meetings may be required)
  • Salary at S&P is determined by various factors, including but not limited to the individual’s particular combination of education, knowledge, skills, competencies, and experience, as well as contract-specific affordability and organizational requirements. The projected compensation range for this position is $65,000 - $75,000 (annualized USD). This represents the estimated salary range for this position and is not a guarantee of compensation. Additionally, S&P’s total compensation package also includes medical, dental, vision, life, and disability insurance, 401K, holidays, and paid time off.
