The Behavioral Health Care Coordinator serves as a key member of the behavioral health team, providing administrative, operational, and client support services. This role functions as the first point of contact for clients, manages front desk operations, coordinates care activities, and provides administrative support to therapists to ensure efficient delivery of behavioral health services. The ideal candidate is compassionate, organized, detail-oriented, and committed to providing exceptional client care and support.


Work Schedule

  • Monday, Tuesday, Thursday and Friday 8:00am – 5pm

Essential Duties and Responsibilities

Client Coordination and Care Support

  • Serve as the primary point of contact for clients, families, and referral sources.
  • Coordinate client intake, scheduling, and appointment reminders.
  • Assist with patient registration, collection of demographic information, and completion of intake paperwork.
  • Monitor therapist schedules and coordinate appointments, cancellations, and rescheduling requests.
  • In conjunction with Lead Therapist, manages the wait list and incoming referrals.
  • Facilitate communication between clients, therapists, healthcare providers, and community resources.
  • Maintain accurate client records in accordance with HIPAA and agency policies.
  • Support continuity of care by tracking referrals, authorizations, and follow-up appointments.
  • Provide clients with information regarding services, treatment options, and community resources as appropriate.

Front Desk and Administrative Support

  • Greet clients and visitors in a professional, welcoming, and compassionate manner.
  • Answer and direct incoming phone calls, emails, and inquiries.
  • Manage office reception area and ensure a positive client experience.
  • Verify insurance information and assist with obtaining required authorizations when applicable.
  • Collect co-pays and process payments according to office procedures.
  • Scan, file, and maintain electronic and paper records.
  • Manage incoming and outgoing correspondence, faxes, and mail.
  • Maintain office supplies and coordinate administrative needs.

Therapist Support

  • Provide administrative assistance to therapists and clinical staff.
  • Prepare client charts, documentation, and treatment-related paperwork.
  • Coordinate therapist calendars and meeting schedules.
  • Prepare materials for client sessions, workshops, and group programs, as needed.
  • Communicate scheduling changes and other relevant information to clinical staff.

Experience and Qualifications

  • High School Diploma or equivalent required
  • Minimum of 1–2 years of experience in healthcare, behavioral health, social services, medical office administration, or a related field.
  • Experience working in a behavioral health, mental health, counseling, or medical office setting, preferred.
  • Ability to maintain confidentiality and handle sensitive information professionally.
  • Knowledge of insurance verification and authorization processes.
  • Competent in client-centered service orientation, professionalism and empathy, adaptability and flexibility and cultural sensitivity and inclusiveness.
  • Good working knowledge of medical terminology and use of an electronic medical record (EMR) system.
  • Excellent communication, interpersonal, organizational, administrative, and customer service skills.
  • Strong organizational, multitasking, and time management skills.
  • Must be a team player and be able to work independently with daily responsibilities.

Compensation

The hourly rate range for this position is $19.00 – $21.00. Hourly rate is dependent on years of professional experience, licenses, certifications, and similar experience to current employees in the position.
