The Preschool & Afterbell Licensing and Compliance Coordinator is responsible for ensuring that all Preschool and AfterBell programs operate in full compliance with applicable state licensing regulations, health and safety requirements, organizational policies, and Leman standards. This position serves as the primary liaison between the organization and regulatory agencies, supporting campus leaders through monitoring, training, documentation management, and continuous quality improvement initiatives.
The Coordinator ensures safe, high-quality environments for scholars while minimizing organizational risk through mentoring, proactive oversight and compliance management and accountability for site leadership.
Essential Duties and Responsibilities
- Licensing Compliance
- Ensure all Preschool and Afterbell programs maintain compliance per Arizona Department of Health Services (AZDS) Childcare Licensure regulations and requirements.
- Monitor licensing expiration dates, renewal timelines, and submissions for both programs and staff requirements.
- Prepare, submit, and maintain all required licensing applications, renewals, reports, and documentation.
- Serve as the primary point of contact for state licensing agencies and regulatory representatives.
- Coordinate and support all announced and unannounced program inspections and visits.
- Respond promptly to licensing deficiencies, corrective action plans, and agency requests.
Program Monitoring and Audits
- Conduct regular compliance reviews and site audits at all AfterBell and Preschool locations including state licensing regulations, health and safety requirements, organizational policies, and Leman standards
- Monitor adherence to staff-to-scholar ratios, supervision requirements, health and safety standards, and operational procedures.
- Develop corrective action plans and provide follow-up support to ensure timely resolution of identified concerns.
- Maintain comprehensive records of compliance monitoring activities and outcomes.
Documentation and Record Management
- Maintain accurate and organized licensing files for each program location.
- Ensure required scholar records, staff files, health records, emergency documentation, and program records meet regulatory requirements.
- Develop systems for tracking required documentation, certifications, and deadlines.
- Ensure confidentiality and security of sensitive information in accordance with organizational policies and applicable laws.
- Ensure regular follow-up with site leadership as necessary to maintain accountability concerning program compliance.
- Implement disciplinary measures with site leadership when faced with ongoing non-compliance.
Staff Training and Support
- Provide guidance and training to AfterBell and Preschool staff regarding licensing regulations, compliance expectations, and best practices.
- Coordinate required licensing-related staff training, including health and safety requirements.
- Develop compliance resources, checklists, and procedures to support campus program leaders.
- Assist administrators with implementing policies and procedures that align with organizational standards.
Health and Safety Oversight
- Monitor compliance with health, sanitation, nutrition, medication administration, and emergency preparedness requirements.
- Support campuses in maintaining safe learning environments consistent with licensing standards.
- Review incident reports and assist with required regulatory reporting.
- Coordinate annual emergency preparedness documentation and drills as required by licensing agencies.
Policy Development and Continuous Improvement
- Review and recommend updates to organizational policies and procedures to ensure alignment with changing regulations.
- Stay informed of federal, state, and local regulatory updates affecting AfterBell and school-age programs.
- Collaborate with leadership to implement compliance improvements and quality enhancement initiatives.
- Participate in strategic planning related to AfterBell and Preschool program growth and expansion.
Other Duties
- Support special projects related to early childhood and extended learning programs.
- Attend professional development opportunities related to licensing and compliance, organizational policies and procedures and best practices.
- Perform other duties as assigned by the Executive Director of Operations.
-Qualifications:
Education and Experience
- Associate's degree required; Bachelor's degree in Early Childhood Education, Education Administration, Business Administration, Public Administration, or related field preferred.
- Minimum of three (3) years of experience in AfterBell, childcare, school-age programming, or regulatory compliance.
- Experience with state childcare licensing regulations required.
- Experience conducting audits, inspections, or compliance monitoring preferred.
- Supervisory or leadership experience preferred.
Knowledge, Skills, and Abilities
- Thorough knowledge of state childcare licensing regulations,standards and the inspection process.
- Strong understanding of health and safety practices within AfterBell and school-age settings.
- Excellent organizational skills with strong attention to detail.
- Ability to interpret and apply regulations consistently across multiple sites.
- Strong written and verbal communication skills.
- Ability to manage multiple projects and deadlines simultaneously.
- Proficiency in Microsoft Office Suite, Google Workspace, and electronic record-keeping systems.
- Ability to work independently while maintaining collaborative relationships with campus leadership teams.
- Strong problem-solving and critical thinking skills.
Certifications and Requirements
- Ability to obtain and maintain all required state licensing clearances and training requirements.
- Valid driver's license and reliable transportation for travel between campuses.
- Ability to pass required background checks and fingerprint clearance requirements.
- Current CPR/First Aid certification or ability to obtain within designated timeframe.
Physical Requirements
- Ability to travel regularly between campus locations.
- Ability to occasionally lift up to 25 pounds.
- Ability to conduct classroom and facility observations, including standing and walking for extended periods.
- Ability to use standard office equipment and technology.
Work Environment
- This position operates in both office and educational environments, including AfterBell classrooms and AfterBell program settings. Regular travel between campuses is required. Work hours may occasionally vary to accommodate program operations, inspections, or training needs.

Compensation: Salary Range- $48,000-$50,000 DOE
