Title: Contract Associate
Reports to: Director of Finance
Employment Information: Part-time (24 hours per week), 12-month, non-union position
Job Summary
The Contract Associate is responsible for coordinating and maintaining the school's contracts and service agreements to ensure they are accurate, current, and compliant with applicable federal, state, local, and school requirements. This position manages the lifecycle of contracts with school districts, government agencies, vendors, independent contractors, and service providers while supporting the Finance Department through contract administration, documentation, and audit preparation.
Key Responsibilities
- Coordinate the preparation, execution, amendment, renewal, and maintenance of contracts and service agreements.
- Manage contracts with school districts, agencies, vendors, independent contractors, interpreters, related service providers, and other external partners.
- Maintain accurate contract records and ensure contracts remain current, complete, and properly documented.
- Prepare and update student-specific service agreements, including one-to-one aide, related service, and outreach contracts, based on approved service changes.
- Monitor contract expiration dates, required documentation, insurance certificates, and compliance requirements.
- Communicate with school districts, agencies, vendors, contractors, and internal departments regarding contract development, revisions, renewals, and execution.
- Assist with procurement documentation and vendor onboarding, as applicable.
- Ensure compliance with federal, state, local, and school policies, procedures, and contractual requirements.
- Meet strictly internal deadlines for assigned projects and contract deliverables.
- Perform other related duties as assigned.
Qualifications and Education
- Bachelor’s degree in business or related field OR An Associate's degree with at least three years of progressively working experience in contract management functions
- Minimum of two years of related work experience, preferably in a nonprofit, educational, governmental, or public-sector environment.
- Working knowledge of contract administration, procurement practices, and applicable federal, state, and local regulations.
- Excellent verbal and written communication skills.
- Excellent organizational skills, attention to details and accuracy.
- Ability to analyze contract terms, conditions, etc and identify discrepancies.
- Strong problem-solving and critical thinking skills.
- Knowledge of or willingness to learn American Sign Language (ASL)
- Ability to prioritize multiple deadlines.
- Ability to work independently and collaboratively.
- Ability to maintain confidentiality and exercise sound judgment.
- Commitment to excellent customer service when working with staff, vendors, school districts, and outside agencies.
