**Position is located onsite in Houston, TX**
The Administrative Assistant is responsible for being the face of the company to study participants and other guests while listening to their needs. The Administrative Assistant is the initial, positive contact point for participant encounters. This position also helps other departments to stay organized and complete tasks that allow them to focus on more advanced responsibilities. This position reports into the Site Director.
Position Responsibilities
- Answers telephone calls in a professional manner and transfer to the appropriate associate, when necessary
- Greets study participants and other guests upon arrival while being friendly and helpful
- Screens patients and visitors when they present in the main entrance following CDC Guidelines checking temperatures and asking COVID related questions
- Responsible to collect and verify all participant demographic information
- Review the study schedules to prepare for the next day’s studies
- Prepare charts for each day by locating study participants charts, updating with proper paperwork, and organizing them correctly in the Nurse’s Station
- Works with other departments, as needed, to provide positive participant experiences
- Clean and organize the waiting room by cleaning and sanitizing
- Re-stock refreshments in the participant waiting area
- Receives and distributes all incoming mail and coordinates outgoing mail, including courier services, postage meter account, and interoffice mail distribution
- Other duties as assigned
Experience and Skills:
- Experience in customer service, telephone, and computers or equivalent training
- Microsoft Office proficiency
- Writing and verbal communication skills
- Ability to work effectively with a team

- Memory to retain information and know where to research answers

- Ability to sit, stand, walk, reach with hands and arms, and use hands along with fingers, to handle or feel.

Education and Experience:
- High school diploma or equivalent required, Associate Degree preferred
- Minimum of one year of experience with general office practices
- Experience in a health care setting preferred.
