Crane Engineering is a family-oriented Midwest based company; with locations in Wisconsin and Minnesota. As a result of our growth, we have a need for an Administrative Assistant. 


The Administrative Assistant plays a vital role in ensuring the smooth day-to-day operation of the office by providing exceptional administrative support and delivering an outstanding experience for team members, customers, vendors, and visitors. As the first point of contact for many interactions, this role helps create a welcoming environment while supporting multiple departments with administrative, organizational, and customer service functions.


What You’ll Do

  • Demonstrates and promotes Crane’s core values (Act with Integrity and Respect, Foster Teamwork, Focus on the Customer, Strive for Excellence and Innovation, Project Passion and Energy and Have Fun).
  • Accurately enters sales orders, processes acknowledgments, purchase orders (mail or fax) and shipping papers.
  • Attaches packing slips with the appropriate paperwork once shipments arrive at Crane.
  • Performs typing, emailing, or other administrative duties as needed.
  • Determines the nature of callers’ business and directs them to appropriate destination.
  • Welcomes all guests by greeting them, answering and referring questions.
  • Process and distribution of incoming and outgoing mail.
  • Support marketing initiatives by assisting with the creation, coordination, and distribution of marketing materials, maintaining promotional inventory, coordinating events, and updating company information as needed. 
  • Provide administrative support to team members across multiple departments by assisting with projects, preparing documents, coordinating communications, and helping ensure day-to-day operations run efficiently.
  • Assists in scheduling and planning customer and internal meetings. Coordinates any required meal catering.
  • Maintains inventory of office supplies.
  • Monitor and distribute Purchase Order in-box to appropriate designee(s).
  • Manage calendars, schedule meetings, coordinate conference rooms, and arrange travel and meeting, as needed. 
  • Maintain organized filing systems, both electronic and paper. 
  • May perform other duties as assigned.
Requirements

What We’re Looking For

  • High school diploma or equivalent required; Associate degree in Business Administration or related field preferred. 
  • Two or more years of administrative assistant, office administration, or executive support experience preferred. 
  • Ability to manage a wide variety of customer situations.
  • Meets commitments and maintains confidentiality.
  • Speaks clearly and persuasively in positive or negative situations.
  • Writes clearly and informatively and edits work for spelling and grammar. 
  • Excellent customer service skills (friendly, courteous and helpful). 
  • Working knowledge of Microsoft Office (Word, Outlook, and some Excel).
