Administrative Assistant to the VP of Communications and Brand Strategy

Essential Functions 

Assistant to the VP of Communications 

  • Provide administrative support to the Vice President of Communications, including calendar management, email coordination, and routine office tasks. 
  • Schedule department meetings as needed. 
  • Coordinate team meeting logistics, including agendas, materials, and meeting arrangements. 
  • Assist the Vice President of Communications with research projects, special initiatives, and departmental assignments that support the goals of the Communications Office. 
  • Execute the planning of creative workdays and other offsite culture-building meetings.  

Budget Management  

  • Oversee the budget tracking document and ensure that budget information is accurate and updated on time. 
  • Prepare and submit monthly Concur expense reports accurately and on schedule. 

Office Coordination 

  • Package and ship promotional items, giveaways, and related materials. 
  • Organize the office and workroom and help maintain a professional atmosphere. 
  • Respond professionally to inquiries received through the Communications office email account and phone line. 
  • Update campus digital slide content and ensure materials are current and accurate. 
  • Order supplies for the admissions team.  
  • Perform other related duties as assigned. 
  • Serve as a secondary point of contact for campus offices, providing support and coordination alongside the Project Manager. 
  • Assist with various Communications projects as needed.  
Requirements

 

Qualifications/Requirements 

  • Christian with high integrity, currently pursuing a relationship with God 
  • High School Diploma Required (Some college experience preferred) 
  • Prior administrative experience is preferred but not required. 
  • Basic understanding of the Spurgeon College and Midwestern College. 
  • Excellent communication and organizational skills. 
  • Basic knowledge of Microsoft Office  
  • Able to take the initiative to complete the duties of the position without the need for direct supervision. 
  • Must be able to work independently, as well as part of a team 
  • Must show a desire and willingness to learn 
  • Must possess a positive attitude 
  • Able to pass background screening, including driving record 
  • Eligible to work in the United States 

Working Conditions  

  • Normal business hours (M-F) 
  • 20 hours per week 
  • Shared office environment 

Physical Requirements  

  • Frequently required to sit or stand for periods of time at a desk or computer station 
  • Occasionally required to stand, walk, and reach with hands and arms. 
  • Able to lift and/or move up to 25 pounds. 
  • Specific vision abilities may include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
