Salary:  $17.00 an hr

General Description:

To serve as the initial point of contact for Catholic Charities Tompkins Tioga (CCTT) Tompkins County Services, providing exceptional receptionist support, including answering phones, greeting visitors warmly, and directing them appropriately. Additionally, responsible for managing office communications and coordinating volunteers to support Tompkins county’s organizational operations effectively. 

Essential Duties and Responsibilities:

  • Provides receptionist support in a warm, welcoming, and professional manner, directing visitors to the appropriate staff members. 
  • Manages a multi-line phone system. Answer and direct calls for Tompkins office, taking and relaying messages accurately and promptly as needed. 
  • Addresses visitor and caller inquiries regarding the organization and provide accurate information. 
  • Serves as the point of contact for clothing closet volunteers and manage volunteer schedules. 
  • Maintains office security by following safety procedures and controlling access. 
  • Performs data entry to document services rendered, update household records, and enter intake forms. 
  • Processes and distribute personal care products and diapers. 
  • Accepts clothing and other donations, and process tax receipts for clothing donations. 
  • Monitors and maintains sign-in logs for staff, volunteers, and clients. 
  • Maintains reception and lobby areas, keeping them tidy and presentable. 
  • Assists with various administrative tasks such as copying, faxing, and managing files. 
  • Respects the confidentiality of everyone who comes in for services. 
  • Attends staff meetings and other Catholic Charities functions.
  • Completes other duties as assigned.

Requirements

Qualifications:

Education: Associates’ degree in Human Services related field preferred. High School Diploma or Equivalent required.  

Credentials: Valid NY State Driver License and access to a reliable vehicle 

Experience: Two years’ experience with reception duties. Bi-lingual is preferred but not required.  Relevant years of experience and education will be considered


Additional Requirements:

  • Complies with all relevant federal and state laws and regulations, including those governing confidentiality, privacy, program standards, billing, and documentation. All tasks must align with CCDR’s corporate compliance and ethics program. 
  • Demonstrates excellent verbal and written communication skills. 
  • Adheres to policies and procedures outlined by CCTT. 
  • Capable of effectively multitasking and prioritizing duties. 
  • Promotes cooperation and teamwork across agency, department, and program levels using positive and constructive communication techniques. 
  • Maintains strict confidentiality concerning all reviewed records, including consumer, employee, and billing records. 
  • Ability to work in the following software programs: Windows, Microsoft Office, and multiple online software platforms as required by funders and partner organizations
  • Able to analyze and interpret data and resolve problems effectively. 
  • Holds a valid NYS Driver’s license and maintains a driver's record acceptable to the agency and insurance carrier. 
  • Possesses a reliable, registered, and insured vehicle for continuous use. 
  • Demonstrates a strong commitment to the Agency's Mission Statement. 
  • Familiar with local Human Service Agencies.
