About the Opportunity:

Victory Programs has experienced exciting growth in recent years, accompanied by continued investment in our Development, Fundraising, and Communications efforts. To support this momentum, we are expanding our team and seeking a Development Associate to report directly to the Chief Development Officer (CDO) and collaborate closely with our five-person Development, Volunteerism, and Communications team. We are looking for a mission-driven, detail-oriented, and highly organized professional with experience in logistics, database management, planning, and administrative support.


The Development Associate will oversee the administrative functions that support our development, volunteer engagement, and communications activities. This role is integral to the success of the team, providing administrative support while actively contributing to fundraising initiatives, donor stewardship, marketing and communications efforts, direct mail campaigns, in-kind donations, and special events. Through this work, the Development Associate will play a meaningful role in advancing our mission and strengthening the impact we have on the communities we serve.


A key responsibility of the position is maintaining accurate and up-to-date donor records, ensuring that we effectively recognize and engage our supporters. The Development Associate will also help plan, coordinate, and execute fundraising events, managing the logistical details necessary for successful event production. By supporting the implementation of our annual development strategy and contributing to the smooth execution of fundraising activities, this role offers an excellent opportunity for an early-career professional seeking to build a meaningful career in nonprofit development and fundraising.


Position Responsibilities:

Fund Development

  • Efficient handling and recording of donations within the database, including monetary and in-kind gifts, while maintaining compliance with relevant guidelines and best practices.
  • Process donations and prepare and send timely acknowledgment letters and other correspondence.
  • Create monthly fundraising reports and dashboards.
  • In conjunction with the CDO, Foundation Manager, and Corporate and Community Engagement Manager, maintain foundation, corporation, and individual donor files (on the database and server).
  • Conduct preliminary research on prospective corporate, foundation, and individual donors.
  • Handle all administrative details associated with the team or committee meetings (i.e., prepare and distribute notices, agendas, and minutes).
  • Assist the CDO with the production and mailing of appeals, postcards, and special mailings.
  • Support all tasks required for the upkeep of the CharityProud donor database.

Events

  • Participate in the planning of all in-person and virtual events.
  • Responsible for all logistical elements of events, including managing guest lists, tracking income and expenses, and preparing registration material.
  • Assist with the personalization and dissemination of invitations.
  • Assist with post-event follow-up with attendees.
  • Create and provide post-event analysis, which includes feedback from attendees, financial outcomes, and suggestions for future events.

Communications

  • Send timely and personalized acknowledgments of all donations received ensuring donors feel valued for their contributions.
  • Generate comprehensive reports to support fundraising and communications efforts which may include mailing lists, analyses of donor trends, tracking fundraising progress, and providing insights to the development team.
  • Create, organize, and update mailing lists to enhance outreach efforts and ensure targeted communication with donors, funders, volunteers, and prospects.
  • Assemble media and donor kits for events and meetings.

Logistics

  • In conjunction with the Corporate & Community Engagement Manager, manage the logistics of in-kind donations, inventory with Procurement, and documentation related to in-kind contributions, ensuring proper recognition and adherence to guidelines.
  • Perform various assigned administrative tasks to support the development team, including scheduling donor meetings, weekly team meeting agendas, preparing materials for fundraising events, donor meeting briefings for the development team and CEO, and assisting in annual fund development planning.

Qualifications:

  • Maturity, organization, adaptability, and ability to work consistently well with others and independently.
  • Strong organizational skills, exceptional attention to detail, excellent verbal and written communication skills, and financial knowledge/skills.
  • Proficient in a variety of software and database applications preferred.
  • High school diploma and a minimum of two years’ work experience in a comparable field, such as sales, or a Bachelor’s degree.
  • Excellent writing, interpersonal, and communication skills.
  • Ability to handle multiple concurrent assignments and meet deadlines.
  • Exemplary customer service skills include enthusiasm, empathy/compassion, patience, flexibility, humor, and charisma.

Position Type: Full-time (40 hours / week) Monday - Friday. Hybrid eligible after 90 days.

Salary + Classification:

Victory Programs is committed to paying competitive wages. To increase equity, we do not participate in a salary negotiation process for any candidate because we know that salary negotiations tend to have an unfair bias. We will make our best offer, and it will be the same regardless of the candidate. The hourly wage for the Development Associate is $26/hour or

$54,080 annually. This position is a non-exempt position and is therefore eligible for overtime pay. The position is hybrid with the expectation to work on-site in a Victory Programs’ location three full days per week.


Our benefit program includes a 75% health and 25% dental employer premium contribution, 100% employer paid disability and life insurance. Victory Programs offers a generous paid time off package to employees working 20+ hours a week including vacation, sick, and personal time as well as holidays. Upon hire, employees working 20+ hours a week are entitled to up to: 4 personal days, 160 sick hours, 10 holidays and 3 1/2 weeks of vacation. These figures adjust based on full time or part time status and allocated vacation time increases with length of employment.
