RS Medical is seeking a detail-oriented and customer-focused Sales Operations Specialist I to join our Sales Operations team. In this role, you will support the order management process by reviewing and validating orders, creating patient accounts, resolving discrepancies, and ensuring accurate order fulfillment.
You will serve as a key liaison among Account Managers, healthcare providers, patients, purchasing departments, and insurance/payor representatives to help ensure orders are processed efficiently and accurately. This position is ideal for individuals who enjoy problem-solving, working with data, and collaborating across departments to deliver exceptional customer experiences.
What You'll Do
- Review system-generated orders for accuracy and prepare them for fulfillment.
- Create patient accounts and manually enter or correct orders when necessary.
- Validate order details against purchase orders and supporting documentation.
- Ensure compliance with account, payor, and regulatory requirements.
- Identify and resolve discrepancies, documentation issues, and workflow errors.
- Communicate with internal and external stakeholders to gather information and resolve order-related concerns.
- Maintain knowledge of Workers' Compensation and Personal Injury Protection (PIP) processes and requirements.
- Provide professional, responsive, and empathetic customer service.
- Proactively escalate issues that may impact order progression or fulfillment.
- Support a positive team culture by sharing knowledge and collaborating with colleagues.
- Perform other duties as assigned.
What We're Looking For
- High school diploma or GED, plus at least six months of experience in an office environment, or an equivalent combination of education and experience.
- Experience with Workers' Compensation and Personal Injury Protection (PIP) documentation and claim requirements.
- Proficiency with Microsoft Outlook, Word, and Excel.
- Strong computer skills and experience working with multiple software applications and web-based systems.
- Excellent attention to detail and accuracy.
- Strong organizational, analytical, and problem-solving skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Professional verbal and written communication skills in English.

- Ability to adapt to changing systems, processes, and business needs.
Preferred Qualifications
- Bilingual in English and Spanish.
