JOB TITLE: Walk In Coordinator – HIICAP (Health Insurance Information, Counseling & Assistance Program)
STATUS: Non-exempt, full-time (Temporary 9/16/2026 - 12/15/2026)
Work Schedule: Required Hours: 8:30 AM–4:30 PM, Monday–Friday 37.50 hours per week.
HOURLY RATE: Up to $18.50 per hour
Summary The HIICAP Walk In Coordinator serves as the first point of contact for community members seeking Medicare counseling and support. This role ensures organized, welcoming, and efficient experience for all walk-in clients while supporting counselors through appointment management, intake processing, and client triage. The coordinator must maintain professionalism and composure in a high-volume environment and be comfortable using tablets and basic computer systems.
Key Responsibilities
· Appointment Scheduling — Book HIICAP counseling appointments and register clients for Medicare classes.
· Intake Processing — Complete and submit intake forms accurately for all walk-in clients.
· Client Greeting & Triage — Welcome clients, determine their needs, and direct them to the appropriate staff or services.
· Technology Use — Operate a tablet to perform basic computer tasks, including data entry and appointment updates.
· Queue Management — Maintain an orderly flow of clients during busy periods.
· Professional Conduct — Remain calm, respectful, and composed during high-volume times and when interacting with agitated or distressed clients.
· Program Support — Assist HIICAP counselors and staff with administrative tasks as needed.
Minimum Education
High School Diploma or equivalent
Required Skills & Qualifications
· Customer Service Skills with the ability to engage diverse populations respectfully
· Basic Computer Literacy, including comfort with tablets and simple data entry
· Strong Communication and interpersonal skills
· Calm Under Pressure with the ability to handle client frustration or agitation professionally
· Organizational Skills to manage multiple clients and tasks simultaneously
· Confidentiality and adherence to HIICAP program guidelines
Preferred Work Experience
· Social Services or Healthcare Reception
· Familiarity with Medicare or willingness to learn
· High-Volume Client Environments
