The Payroll Analyst is responsible for ensuring accurate and timely processing of payroll while maintaining compliance with federal, state, and local regulations. This role analyzes payroll data, resolves discrepancies, supports audits, and works closely with HR, Finance, and external vendors to optimize payroll processes.
Essential Functions:
Ø Process and validate payroll for employee-bi-weekly
Ø Review payroll data for accuracy, including hours worked, deductions, benefits, bonuses, and taxes
Ø Analyze payroll reports and identify discrepancies or trends
Ø Ensure compliance with company policies and applicable labor laws and tax regulations
Ø Research and resolve payroll issues, including employee inquiries
Ø Maintain payroll records and ensure proper documentation and audit readiness
Ø Support internal and external audits related to payroll
Ø Collaborate with HR and Finance teams on compensation changes, new hires, terminations, and benefits updates
Ø Reconcile payroll accounts and general ledger entries
Ø Assist in payroll system maintenance, upgrades, and testing
Ø Prepare payroll-related reports for management including budget vs. actual expenses, payroll accruals, commission statements, raise and budget detail
Ø Identify opportunities for process improvements and automation
Ø All other duties as assigned
Essential Skills and Education/Experience:
Ø Bachelor’s degree in Accounting, Business Administration, Human Resources, or a related field.
Ø 7–10 years of payroll experience, including hands-on payroll processing and compliance.
Ø Experience with payroll systems and reporting tools (e.g., Microsoft GP or similar ERP systems preferred).
Ø Strong knowledge of payroll processes, including tax compliance, reconciliations, and internal controls.
Ø Paylocity payroll system knowledge, preferred.
Ø High level of accuracy, attention to detail, and organizational skills.
Ø Strong analytical and problem-solving capabilities.
Ø Ability to maintain confidentiality and handle sensitive information.
Ø Proficiency in Microsoft Office Suite, particularly Excel.
Ø Strong communication and collaboration skills across departments.
Ø Experience managing multi-state payroll operations.
Ø Support system implementations, upgrades, or process improvement projects.
Physical Requirements:
Ø Ability to sit for extended periods while working at a computer or desk
Ø Occasional standing, walking, and reaching to access files or office supplies
Ø Manual dexterity for typing, filing, and handling office equipment
Ø Ability to lift and carry up to 20 pounds occasionally (e.g., office supplies, documents)
Ø Visual acuity to read printed and digital materials
Ø Auditory ability to communicate effectively in person and over the phone
Ø May need to climb stairs in multi-level office building
