Summary
The Office & Marketing Assistant supports both daily administrative functions and the broader marketing team. This dynamic role ensures the smooth coordination of internal communications, event planning, company branding, and digital content management. It’s ideal for a detail-oriented, creative multitasker who enjoys working on a variety of tasks in a collaborative environment.
- Work Location: On-site
- Expected Compensation Range: $25-30 per hour (Offered compensation will be based on location and individual qualifications)
- Pay Rate Type: Hourly with overtime rate of 1.5x base pay for all hours worked over 40 in a week
Responsibilities
Marketing & Proposal Support
- Maintain up-to-date knowledge of the civil engineering industry and the markets Sambatek serves
- Prepare marketing materials for clients and team members, (presentations, brochures, etc.
- Write and edit content for both internal and external audiences
- Maintain and update qualification materials, project sheets, resumes, and photo libraries
- Coordinate with outside vendors and consultants for submittals, merchandising, events, and printing
- Coordinate and prepare award submittals for projects, people, and firm recognition
- Support content creation and management for Sambatek’s website and social media platforms
- Track and report on marketing opportunities and engagement metrics
- Assist with CRM and task management tools to keep marketing initiatives on track
- Maintain internal marketing files and templates, ensuring brand consistency
Event & Communication Support
- Assist in planning and executing internal communications and staff events (e.g., Town Halls, celebrations, employee recognition)
- Support client-facing events, trade shows, and conferences (planning, logistics, and follow-up)
- Help with ordering and organizing promotional items, signage, and branded materials
- Assist in photography coordination and management for staff and projects
Administrative & Office Support
- Perform general office administrative tasks including supply ordering, mail(ings) correspondence typing, filing, and document formatting
- Provide administrative support for the marketing team and coordination of internal processes
- Update license database, support license renewals, reporting review and consolidations
- Ensure project and proposal files are up-to-date and easily accessible for the team
- Other office tasks as assigned
- Associate or Bachelor's degree in Marketing, Communications, Business Administration, or related field
- 0–3 years of marketing, office coordination, or administrative experience
- Proficiency in Microsoft Office Suite; Adobe InDesign and other Adobe Creative Suite tools a plus
- Strong written and verbal communication skills
- Organized and detail-oriented with the ability to manage multiple priorities
- Positive, collaborative attitude with a service-oriented mindset
Physical Demands and Work Environment
- Work is primarily performed in an office environment
- Ability to occasionally move equipment/objects weighing up to 10 pounds
