Description
The Clinical Team Assistant (CTA) provides vital support to the nursing and care teams by assisting with non-clinical patient care coordination, documentation, communication, and workflow processes. Reporting to the Lead Nurse, the CTA plays a key role in ensuring efficient clinical operations and timely patient follow-up. This position supports smooth functioning of day-to-day activities and contributes to a high-quality, patient-centered experience.
- Assist with coordination and documentation of patient services including referrals, prior authorizations, and communication with external partners (e.g., specialists, pharmacies, labs).
- Manage refill requests including updating the pharmacy and provider information, ensuring appropriate routing and documentation.
- Assist with care gap reporting and follow-up (e.g., overdue labs, immunizations, mammograms), supporting panel management and quality initiatives.
- Communicate directly with patients as needed for scheduling, follow-up on test results, or health education materials, per clinical protocols.
- Support scanning, faxing, and uploading of medical records and documentation into the electronic health record.
- Help coordinate case management tasks under the guidance of the Lead Nurse, including patient outreach and support with Durable Medical Equipment (DME), IHSS coordination, Radiology Prior Authorizations or community services.
- Support panel reassignment processes and patient communication related to provider transitions.
- Monitor documentation workflows and follow up with team members to ensure timely completion of tasks.
- Participate in clinic meetings and continuous quality improvement (CQI) initiatives as assigned.
- Demonstrate a commitment to excellent communication, organization, and collaboration within the care team.
- Other duties as assigned.
Requirements
The Clinical Team Assistant at Alliance Medical Center has the following qualifications and skills:
- High school diploma or GED required; associate degree or post-secondary education preferred;
- At least one year of experience in a healthcare or clinic setting, required;
- Bilingual in English and Spanish required;
- Completion of medical assistant program with certification required;
- Current CPR certification required;
- Knowledge of medical office systems and terminology, including electronic health records;
- Strong organizational and communication skills;
- Ability to prioritize tasks and work effectively as part of a care team in a fast-paced environment;
- Proficient in Microsoft Office applications (Outlook, Word, Excel);
- Demonstrates cultural humility and professionalism in interactions with diverse populations;
- Ability to maintain patient confidentiality and adhere to HIPAA guidelines.
Work location: This position is expected to work onsite and not remotely.
Salary Description
$25.87 - $30.87 DOE and Certification
