The coordinator position is responsible for partnering with the Facilities and Government Relations teams to deliver workplace services, facilities maintenance activities, and the overall functionality of the office. This position requires that the individual be able to work Monday through Friday, 8:00 AM – 5:00 PM.


Key responsibilities include:

  • Provide front-end office support to include welcoming and directing employees and visitors to rooms/workspaces, answering the phone, receive/send packages, and distributing mail.
  • Responsible for work order management for the Facilities Team as well as landlord ticket submittals. 
  • Assist with inventory tracking of office supplies and pantry items 
  • Responsible for the activities of outsourced vendors in the delivery of all required workplace services. This includes but is not limited to overseeing all maintenance services such as janitorial, specialty cleaning, kitchen, food & beverage services, plant care, holiday decor, and various vendors as needed. Escort vendors without cleared backgrounds. 
  • Serve as an information hub and communicate and partner as needed with landlord/property management, including FOB orders, loading dock activities, COIs, and building conference room requests. 
  • Provide general and overall facilities services, including continuous monitoring of office/facility such as printers, conference rooms, breakrooms, and appliances
  • Address client inquiries/requests/concerns, ensuring timely, quality resolution, service delivery, and customer satisfaction.
  • Assist with catering, coordination of special office and volunteering events, as well as room setup.
  • Circulate or post facility and security communications as needed. 
  • Partner with Facility Management for effective facilities and space planning programs for the office.
  • Perform other related duties, as needed by the Facilities Team.
Requirements

 Key qualifications:

  • Provide high-level customer service. 
  • Strong and highly effective verbal and written communication skills.
  • Strong computer skills with working knowledge of Microsoft Office products.
  • General knowledge in service request and space planning systems  
  • Experience in space planning activities.
  • Ability to work in a fluid environment where assignments change daily and are time sensitive.
  • Ability to work under pressure.
  • Ability to lift and move items up to 50lbs.
  • 3-4 years of professional or corporate experience.
  • Degree/ Technical Certificate
