Acts as the front line of the company in assisting agents and customers. Serves as a liaison between the agents and customers; establishes effective administrative communications between all members of the office and customers. Manages office management through variety of tasks with customer service and care. Above extraordinary professionalism with outgoing personality.
Duties and Responsibilities
- Acts as the “face of the company”, front line of the company
- Greets customers as they enter the office, call into the office, or any other communications/visits with the office as assigned
- Presents a professional image to any current or potential agents and customers
- Answers telephones, emails and any other form of communication for the company as assigned
- Manages office management through variety of tasks with customer service and care
- General office maintenance such as cleaning, ordering supplies, maintenance of office equipment
- Maintain communication with Accounts Payable on all invoices received.
- Maintains files for real estate office
- Maintains confidential information on agents and customers; adheres to ethical and confidentiality agreements put forth by the company
- Maintains all office phone, email rosters
- Maintains floor schedules as assigned where applicable
- Transaction Coordinating for Agents that participate in the program:
- Order Survey, Well & Septic when necessary
- Order Preliminary Title
- Send signed documentation to all parties
- Complete the Transaction Detail Report
- Organize Loop in Dotloop
- Check HUD Statements and Commission Checks for errors
- Collect Earnest Money and process accordingly
- Communicate with Title, Lender, Appraiser, County, City as necessary
- Assist Agents participating in the program, but not allowed to create Purchase Agreements or Addendums or participate in Negotiating
- Communicate with Buyer or Seller Agent as requested by Participating Agent
- Schedule closing with all parties and communicate accordingly
- Process Paperwork in AccountTech and the MLS as necessary
- Assists the Sales Manager with a variety of office duties including recruiting; may assist other departments as necessary

Education and Experience:
High school diploma or equivalent.
Proficiency with Microsoft Office and Google Suite software.
Physical Requirements:
Prolonged periods of sitting at a desk and working on a computer.
Must be able to lift up to 15 pounds at times.
Must be able to perform general cleaning to light maintenance work.
