POSITION SUMMARY
The Manager, Charters & Incentive Groups is responsible for the end-to-end planning, coordination, and execution of charter sailings and incentive group programs after contract signature. This role serves as the primary operational liaison for clients, internal departments, and external partners, ensuring flawless execution of customized programs while delivering exceptional guest experiences and operational excellence.
The ideal candidate is a highly organized project manager with strong operational expertise, exceptional communication skills, and the ability to manage multiple complex programs simultaneously in a fast-paced environment.
KEY RESPONSIBILITIES
- Serve as the primary operational point of contact for charter clients and incentive groups
- Deliver successful execution of charter and incentive group programs
- Ensure all service elements align with contractual obligations.
- Prepare and maintain accurate operational records, checklists, documents and communications related to each contracted departure
- Prepare billing records and send invoices to clients to ensure payments are received according to contract terms
- Ensure all stakeholders receive accurate and timely information throughout the planning cycle.
- Participate in client meetings, operational reviews, and pre-sailing conference calls.
- Work closely with internal teams to deliver seamless program execution.
- Prepare and maintain accurate reports of charter and incentive groups.
Success in this role is measured through a combination of successful and seamless execution of charter and incentive group programs, high customer satisfaction, positive engagement and team collaboration.
YOUR EXPERIENCE AND EXPERTISE
- Minimum 5-years of related experience in the cruise, hospitality, luxury travel, or incentive travel industry
- Experience in charter operations and group travel
- Proven experience managing complex, multi-departmental projects and client-facing programs.
- Strong project management and organizational skills with exceptional attention to detail.
- Excellent written, verbal, and presentation communication skills.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Ability to operate in a team environment.
- Excellent interpersonal skills and demonstrated maturity.
- Proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, and Outlook.
- Minimum of one-year related experience with reservations systems and with other software systems preferred.
TRAVEL & OTHER REQUIREMENTS
- Travel: Some travel might be required.
- Status: This role is Remote unless you live near a hub office (i.e. Costa Mesa, Calabasas). Otherwise, you will be required to work hybrid 2 days in office per week.
