Position Overview: The Data Analyst supports CRCI’s leadership, programs, and social enterprises by turning organizational data into accurate, honest, and actionable information. This position is responsible for collecting, cleaning, organizing, and analyzing data from across the organization — including resident and program records, thrift store and social enterprise sales, marketing and advertising performance, IT and asset systems, and grant reporting requirements — and for presenting findings in clear reports and dashboards that support sound decision-making. The Data Analyst works within CRCI’s established data systems (including Airtable, Google Workspace, and connected platforms) and helps ensure that the organization’s data is reliable, secure, well-documented, and handled in full compliance with applicable confidentiality standards.
Job Summary: The Data Analyst gathers, maintains, and analyzes data across CRCI’s programs, campuses, and social enterprises. This includes building and maintaining reports and dashboards, performing data quality checks, supporting grant and funder reporting, analyzing program outcomes and business performance, and assisting departments in understanding and using their own data. The position requires strong attention to detail, sound judgment, effective communication, and an ability to independently research and learn — with an emphasis on accuracy, confidentiality, honesty in reporting, and continuous improvement.
Key Responsibilities
Data Collection & Management
- Collect, organize, and maintain data from CRCI systems, including Airtable bases, point-of-sale exports, advertising platforms, spreadsheets, and other organizational sources.
- Enter, import, and structure data accurately and consistently according to established standards.
- Maintain and improve existing data tables, fields, views, and linked records within CRCI’s databases.
- Assist in connecting and syncing data between systems (e.g., integrations and automations) under the direction of the Systems Manager.
Reporting & Dashboards
- Build, maintain, and deliver recurring reports and dashboards for leadership, departments, and programs.
- Prepare data summaries and visualizations that are clear and understandable to non-technical staff.
- Support grant applications and funder reports by assembling accurate program, outcome, and financial data as requested.
- Respond to ad hoc data requests from leadership and department supervisors in a timely manner.
Data Quality & Integrity
- Perform routine audits of organizational data to identify missing, duplicate, inconsistent, or inaccurate records.
- Document and correct data quality issues, and recommend process changes that prevent them from recurring.
- Report findings honestly and accurately, even when the data is unflattering; never adjust or omit data to produce a preferred result.
- Maintain version control and documentation for datasets, reports, and analysis files.
Analysis & Insights
- Analyze program data (admissions, discharges, outcomes, attendance, and related measures) to identify trends, gaps, and opportunities.
- Analyze social enterprise data (thrift store sales, landscaping, cleaning, and other services) to support pricing, staffing, and operational decisions.
- Analyze marketing and advertising data to help evaluate campaign performance and return on investment.
- Present findings with appropriate context, assumptions, and limitations clearly stated.
Confidentiality & Compliance
- Handle all resident and program data in compliance with applicable confidentiality and data protection standards, including HIPAA and 42 CFR Part 2 where applicable.
- Follow CRCI access control, permission, and data handling procedures at all times.
- De-identify or aggregate sensitive data appropriately before it is shared in reports, grants, or external communications.
- Immediately report any suspected data breach, loss, or misuse to the Systems Manager.
Cross-Department Support & Communication
- Communicate effectively with department supervisors to understand their data needs and translate them into practical reports and tools.
- Explain technical concepts and findings in plain language to non-technical staff.
- Train staff, as assigned, on entering data correctly and using reports and dashboards.
- Participate in meetings and provide data support for organizational planning and decision-making.
Systems Support & Continuous Improvement
- Assist the Systems Manager with system updates, upgrades, and improvements to CRCI’s data and reporting infrastructure.
- Research solutions independently using available resources (documentation, vendor knowledge bases, and web search) before escalating questions.
- Identify opportunities to automate repetitive data tasks and improve workflow efficiency.
- Stay current on tools and methods relevant to the position and recommend improvements as organizational needs evolve.
Documentation
- Maintain clear documentation for data sources, definitions, report logic, and recurring processes.
- Develop user guides and SOPs for reports and data workflows so institutional knowledge is retained.
- Ensure another team member could locate, understand, and continue the position’s work using the documentation provided.
Qualifications
- Experience or demonstrated ability in data entry, data analysis, reporting, or a related field.
- Working knowledge of spreadsheets (Google Sheets and/or Excel), including formulas, sorting, filtering, and basic charts.
- Familiarity with databases or relational tools (Airtable experience preferred) and willingness to learn CRCI’s systems.
- Experience with professional data analytics tools preferred — such as SQL, Power BI, Tableau, Looker Studio, or Python/R for data analysis.
- Basic knowledge of how to find information independently — including effective use of web search (Google), documentation, and help resources.
- Strong attention to detail and commitment to accuracy.
- Ability to communicate clearly and effectively, both in writing and verbally, with technical and non-technical staff.
- Ability to manage multiple requests, prioritize, and meet deadlines.
- Valid driver’s license required.
- Familiarity with nonprofit or faith-based organizations preferred.
