Position Overview

The HR Administrator will support the day-to-day administration of HR programs and employee processes for York Solutions India Private Limited. This position maintains accurate employee records, coordinates onboarding and offboarding, prepares employment and exit documentation, and helps ensure HR activities are completed accurately, confidentially, and on time.


This role serves as the designated local compliance representative and point of contact for labor law and regulatory coordination, working closely with the HR, payroll and compliance teams to ensure timely administration of statutory requirements and HR processes.


The ideal candidate is organized, detail-oriented, responsive, and comfortable supporting employees throughout the employment lifecycle with the guidance of HR leadership.  This person will need to be located in the Bangalore area


Key Responsibilities


Employee Onboarding

  • Assist with onboarding process for new Employees. 
  • Ensure new employees complete their profiles and required employment documentation, tax information, IDs and statutory documents in GreytHR and any other company systems. 
  • Track outstanding onboarding requirements and follow up with employees and internal teams. 

HR Documentation and Employee Records

  • Prepare standard employment documents, including: Probation confirmation letters, Probation extension letters, Employment verification letters, Relieving letters, Experience letters, Resignation acknowledgments. 
  • Maintain trackers for probation periods, contract expiration dates, employee changes, leave, benefits eligibility, and required documentation. 
  • Assist with employees updating information in GreytHR and other authorized HR systems and processes. 
  • Protect confidential employee and company information. 

Leave and Attendance Administration

  • Assist employees and managers with GreytHR leave and attendance processes. 
  • Monitor leave requests, attendance records, holidays, and employee absences. 
  • Maintain accurate leave documentation and escalate extended or potentially protected absences to HR leadership. 
  • Support compliance with company leave policies and applicable statutory requirements. 

Benefits Administration

  • Maintain benefits eligibility records and notify employees of enrollment opportunities. 
  • Coordinate employee enrollments, dependent additions, and other eligible changes with the benefits provider. 
  • Assist employees with general benefits questions while directing coverage or claim decisions to the appropriate provider. 
  • Maintain confidential benefits records and enrollment documentation. 
  • Support employee communications regarding benefits programs and enrollment deadlines. 

Employee Changes and Offboarding

  • Assist with approved employee changes, including transfers, promotions, compensation changes, manager changes, and employment-category changes. 
  • Coordinate employee resignations and separations. 
  • Prepare required exit documentation and support final payroll processing. 
  • Coordinate the return of company property with IT and other internal departments. 
  • Assist with employment verification requests in accordance with company policy.

HR Compliance and Reporting

  • Maintain HR records, trackers, and reports needed to support statutory and company requirements. 
  • Assist Nexdigm / York with maintaining required registers, notices, acknowledgments, and employee documentation. 
  • Support compliance activities related to workplace conduct, and Prevention of Sexual Harassment (POSH) requirements. 
  • Immediately forward government notices, legal correspondence, inspections, employee complaints, or compliance concerns to HR leadership and the appropriate advisor. 
  • Assist with internal and external HR audits by organizing requested records. 
  • Assist HR Leader with India Authorized Representative and local contact for statutory labor compliance purposes.
  • Support the preparation and maintenance of statutory compliance registers, employee records, and documentation required under applicable labor laws and regulations.
  • Maintain local contact information with government authorities and regulatory bodies as required.
  • Receive communications, notices, correspondence, and inquiries from labor and regulatory authorities and promptly forward them to the designated payroll, HR, compliance leaders for review and action.
  • Assist in communication and coordination between authorities and the payroll, HR and compliance team when required.
  • Assist with payroll and compliance providers regarding statutory filings, registrations, labor law requirements, and compliance-related documentation.
  • Assist with compliance calendars and track statutory deadlines and reporting requirements.
  • Assist with compliance audits and documentation requests.
  • Assist and perform any other task or responsibilities given.
Requirements
  • Bachelor’s degree in Human Resources, Business Administration, Commerce, or a related field preferred. 
  • Two or more years of HR administration or HR operations experience in India preferred. 
  • Experience with onboarding, employee records, payroll coordination, leave administration, and offboarding. 
  • Familiarity with Indian employment practices and statutory HR documentation. 
  • Experience using an HRIS; GreytHR experience is preferred. 
  • Proficiency in Microsoft Office, particularly Excel, Word, Outlook, and PowerPoint. 
  • Strong written and verbal English communication skills.
