The Facilities & Operations Administrator is a key member of Landon's Facilities & Operations team, providing administrative leadership and operational oversight in support of the School's daily campus operations. Working closely with the Director of Facilities & Campus Operations, this position helps coordinate maintenance, grounds, transportation, events, security, housing, vendor relationships, and operational planning to ensure the campus operates safely, efficiently, and in support of the School's mission.
The Administrator serves as a trusted operational partner, coordinating projects, managing budgets and administrative processes, supervising assigned personnel, and helping execute major school events and transportation logistics.
Essential Responsibilities
Facilities & Operations Administration
- Partner with the Director of Facilities & Campus Operations in the day-to-day administration of maintenance, grounds, custodial services, transportation, security, housing, logistics, and campus operations.
- Coordinate departmental administrative functions, including purchasing, invoice processing, credit card reconciliation, and budget tracking.
- Support with work order workflows, preventive maintenance scheduling, and operational documentation.
- Assist with vendor procurement, contract administration, and performance monitoring.
- Assist in developing and implementing emergency preparedness plans, operational contingency planning, staff training, and campus emergency response procedures.
Event Logistics & Campus Operations
- Coordinate operational support for academic, athletic, arts, advancement, admissions, alumni, and auxiliary events.
- Develop event logistics plans, including staffing, room setups, security, transportation, parking, traffic management, and custodial support.
- Oversee Landon's event management system to ensure effective coordination among maintenance, custodial, transportation, and security teams.
- Partner with School leadership to develop weather contingency and emergency response plans for campus events.
- Ensure events are executed safely, efficiently, and with a high level of customer service.
Transportation Administration
- Partner with the Transportation Manager to oversee the School's transportation program.
- Coordinate driver scheduling, transportation logistics, and vehicle utilization for daily operations and special events.
- Assist in managing the School's vehicle fleet, including maintenance scheduling, repairs, inspections, replacement planning, budgeting, and procurement.
- Monitor compliance with federal, state, and local transportation regulations, including licensing, inspections, training, and safety requirements.
- Support continuous improvement of transportation efficiency and customer service.
Budget & Administrative Management
- Assist in developing and managing departmental operating budgets.
- Monitor expenditures for transportation, events, facilities, and operational programs.
- Process purchase orders, invoices, reimbursements, and departmental financial records.
- Maintain operational reports, vendor documentation, and performance metrics to support data-driven decision making.
Personnel Leadership
- Supervise the Transportation Manager and assigned event coordination personnel.
- Promote a culture of teamwork, accountability, professionalism, and customer service.
- Support staff scheduling, training, performance management, and professional development.
- Promote workplace safety and ensure compliance with OSHA regulations and School safety policies.
Other Responsibilities
- Perform other duties as assigned in support of the Facilities & Operations Department and the School.
Compensation and Benefits
