Description

Mentella Health is a multi-state, fully remote group mental health practice. Our model is built around therapist vitality, giving clinicians the support they need to do their best clinical work. The Operations Coordinator is central to that support system, managing insurance verification, credentialing, and day-to-day communication so our therapists can stay focused on providing exceptional patient care.


You'll be the first point of contact for clients and providers, so a warm, approachable communication style matters as much as sharp attention to detail. This is a hands-on, full-time role for a problem solver who stays on top of things, follows through, and doesn't let anything fall through the cracks.


Key Responsibilities: 

  • Operations & Systems: Own the accuracy of provider data across platforms, including the EHR, CAQH, Zocdoc, and Zencare. Maintain centralized trackers for credentialing and insurance status to ensure team-wide visibility. 
  • Insurance & Credentialing: Perform insurance verification and eligibility checks for new and existing clients, entering results into the EHR. Process credentialing for newly hired providers and conduct 90-day provider information verifications to keep insurance records current. 
  • Communication: Handle incoming phone calls and emails, serving as an empathetic, professional liaison between therapists, clients, and staff. Bring a warm, supportive tone even when resolving financial or administrative issues. 
  • Admin Support: Maintain accurate data entry across systems, ensuring consistency in payroll prep and provider rosters. 
  • Other duties as assigned.


This role is designed to grow. As Mentella expands, there is potential to take on additional responsibilities and scope over time for the right candidate.

Requirements
  • 1+ years of experience in a medical or behavioral health office setting. 
  • Understanding of HIPAA and a strong commitment to protecting client confidentiality.
  • Proven ability to manage high-volume administrative tasks with high precision. 
  • Strong organizational skills; you don’t just follow processes, you refine and improve them. 
  • Tech-savvy, with proficiency in EHR systems and cloud-based office suites (Google Workspace). 
  • Exceptional written and verbal communication skills, with the ability to maintain a professional, empathetic tone.

This position is fully remote. Applicants must be able to maintain a work schedule of Monday-Friday 9a-5:30p CT.

Salary Description
$20-$30/hour
