Position Summary:

The Loan Administration Specialist is responsible for managing loan files throughout the lending lifecycle, ensuring accurate documentation, timely processing, regulatory compliance, and exceptional service to internal and external customers. This role supports loan funding, document review, file maintenance, investigating and responding to consumer disputes through the credit bureaus, and administrative functions while maintaining high levels of accuracy, efficiency, and operational quality. This role is required to come into the office 2 days per week to handle incoming correspondence via mail and other administrative duties.

Requirements

Loan Administration & Documentation

  • Knowledge of loan documentation, funding, and servicing processes
  • Ability to review loan files for completeness and accuracy
  • Understanding of lending policies, procedures, and compliance requirements
  • Experience maintaining electronic loan records and document management systems

Organizational & Administrative Skills

  • Strong attention to detail and accuracy
  • Excellent organizational and time management skills
  • Ability to manage multiple priorities and meet deadlines
  • Strong recordkeeping and file maintenance abilities

Communication & Customer Service

  • Excellent verbal and written communication skills
  • Professional phone and email etiquette
  • Strong customer service and problem-resolution skills

Technical Skills

  • Proficiency in Microsoft Office, particularly Excel, Word, and Outlook
  • Experience with loan origination, servicing, or document management systems
  • Accurate data entry and typing skills

Analytical & Problem-Solving Skills

  • Ability to identify discrepancies and resolve documentation issues
  • Strong critical thinking and decision-making skills
  • Ability to analyze information and prioritize workflow effectively


Qualifications:

  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred
  • 2-5 years of experience in loan administration, loan processing, loan servicing, financial services, or related administrative roles
  • Ability to maintain confidentiality and handle sensitive information
  • Demonstrated ability to work independently and collaboratively in a team environment


Language Skills

Ability to read and interpret documents such as customer correspondence, accounts logs and procedure manuals.  Ability to prepare reports and correspondence.  Ability to communicate effectively with customers and other employees of the organization.


Mathematical Skills

Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to compute rate, ratio, and percent.


Reasoning Ability

Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form.  Ability to deal with problems, involving several concrete variables in standardized situations.
