The Administrative Assistant provides essential administrative support to the President of Reid Companies, members of the Office of the CEO (OCEO), and various departments throughout the organization. This role is responsible for coordinating daily administrative activities, managing communications, supporting company initiatives, assisting with customer needs, and helping ensure smooth and efficient operations.
The ideal candidate is organized, dependable, detail-oriented, and able to manage multiple priorities while providing exceptional service to internal and external customers. Essential Functions
Administrative Support & Coordination
- Provide administrative support to the President of Reid Companies, members of the OCEO, and departments throughout the organization.
- Manage calendars, schedule meetings, coordinate appointments, and assist with meeting preparation and follow-up.
- Prepare, review, and distribute correspondence, reports, memos, and other business communications.
- Gather information, research solutions, and proactively address questions or requests when possible.
- Maintain organized records, documents, and administrative files including expense reports and invoice processing.
- Assist with company projects, office operations, and administrative tasks as needed.
Office Operations & Company Support
- Coordinate meetings, company events, retreats, and special projects, including scheduling, logistics, materials, and follow-up.
- Support employee recognition programs, including company anniversary and birthday recognition initiatives.
- Assist with donation and sponsorship requests by coordinating submissions, approvals, and communications.
- Support day-to-day office operations to ensure a professional and welcoming workplace.
Customer Service & Customer Experience
- Represent Reid Companies by providing professional, friendly, and responsive service to customers, vendors, associates, and visitors.
- Respond to customer questions and concerns with patience, empathy, and a solutions-focused approach.
- Assist in resolving customer issues by gathering information, coordinating with appropriate resources, and ensuring timely follow-up.
- Build positive relationships that promote customer satisfaction, trust, and loyalty.
- Maintain knowledge of company products, services, and operations to effectively support customer needs.
Cross-Functional Communication & Support
- Collaborate with internal teams, including Marketing and Fuel Sales, to support company initiatives and operational needs.
- Assist with coordination of highway signage updates and related communications.
- Support communication between departments to help ensure projects and priorities are completed effectively.
Employee Engagement & Company Culture
- Support Team Reid initiatives and company events that promote teamwork, engagement, and a positive workplace culture.
- Assist with activities that strengthen collaboration and reinforce Reid’s core values.
Additional Support Responsibilities
- Provide occasional administrative assistance and off-site support as directed.
- Assist with occasional errands or transportation-related tasks using a company vehicle, including school pickups, activity drop-offs, or other assigned responsibilities as needed.

- High school diploma or equivalent required.
- Must be at least 18 years of age.
- 2+ years of administrative, office support, or customer service experience preferred.
- Proficiency with Microsoft Office Suite, including Word, Excel, and Outlook.
- Strong organizational skills with the ability to prioritize multiple responsibilities.
- Excellent written and verbal communication skills.
- Strong attention to detail and ability to maintain confidentiality.
- Ability to work independently, use good judgment, and proactively identify solutions.
- Valid driver’s license with a clean driving record required.
