Job Summary
We are seeking a highly motivated and detail-oriented Inside Sales & Quotations Specialist to join our commercial team. This role serves as the primary liaison between customers and internal operations, owning the complete quote-to-order process from customer inquiry through order entry. The successful candidate will prepare technical quotations, coordinate cross-functional activities, manage customer communications, and support business growth by converting opportunities into sales. This position requires strong organizational skills, commercial awareness, technical aptitude, and a commitment to delivering exceptional customer experience.
Job Duties
- Own the end-to-end quote-to-order process, ensuring accurate, timely, and efficient processing of customer inquiries, quotations, sales orders, and order acknowledgments; including SOP management and process creation.
- Prepare accurate customer quotations by reviewing customer specifications, drawings, terms and conditions, and technical requirements while ensuring compliance with company pricing strategies, profitability objectives, and commercial policies.
- Serve as the primary point of contact for customers, responding promptly to inquiries regarding pricing, product availability, lead times, order status, and technical coordination.
- Review customer purchase orders for accuracy; including identifying contractual and commercial risks, recommend acceptable deviations from Company standards, and coordinate approvals with management, legal, and finance as required.
- Process customer sales orders accurately within the Acumatica ERP system, ensuring data integrity and timely order entry.
- Coordinate closely with Operations, Production, Engineering, Supply Chain, and Purchasing to confirm material availability, manufacturing capabilities, delivery schedules, and customer commitments.
- Work with suppliers and manufacturing partners to obtain pricing, lead times, technical information, and sourcing support required to prepare competitive quotations.
- Perform export compliance screening of customers, products, destinations, and transactions to ensure compliance with U.S. Export Administration Regulations (EAR), trade restrictions, and company policies.
- Maintain accurate customer, quotation, opportunity, and sales activity records within the EDGE CRM system to support pipeline management and forecasting.
- Partner with outside sales representatives to develop customer opportunities, convert quotations into sales orders, and support strategic account growth.
- Proactively follow up on outstanding quotations, sample requests, and pending customer decisions to maximize quote conversion and revenue growth.
- Resolve customer concerns professionally by coordinating cross-functional resources and escalating issues as appropriate to ensure timely resolution and customer satisfaction.
- Analyze quotation trends, booking performance, customer demand, and market conditions to provide recommendations regarding pricing strategy, customer prioritization, capacity utilization, and sales forecasting.
- Continuously identify opportunities to improve quoting accuracy, response times, customer experience, and overall sales process efficiency through standardized procedures and continuous improvement initiatives.
- Support other departments such as Purchasing, Accounting, Production as needed.
Qualifications
- Bachelor's degree in Business, Supply Chain, Engineering, Marketing, or a related field preferred. Equivalent industry experience will also be considered.
- 5+ years of inside sales, customer service, estimating, or quotation experience.
- Experience supporting customers within electronics manufacturing, PCB fabrication, semiconductor, aerospace, defense, industrial manufacturing, or engineered products environments is preferred.
- Strong proficiency in Microsoft Office, especially Excel and Outlook.
- Experience using ERP systems (Acumatica preferred) and CRM (Salesforce) platforms to manage quotations, orders, and customer opportunities.
- Knowledge of manufacturing processes, bill of materials, costing concepts, export compliance, contract requirements, etc.
- Excellent verbal and written communication skills.
- Strong attention to detail and organizational skills.
- Ability to prioritize multiple projects and meet deadlines.
- Self-motivated with strong problem-solving abilities.
- Ability to work independently and as part of a collaborative team.
