POSITION SUMMARY
The Sales Support Specialist is responsible for providing essential support to sales representatives and effectively addressing customer and prospect inquiries. This role involves troubleshooting customer issues, managing data integrity, and guiding the sales team while overseeing sales tracking tools and supporting trade show participation. The specialist acts as a liaison with account managers, stays informed about product launches, and recommends sales process improvements. By leveraging their expertise, they contribute to the development and maintenance of positive customer relationships and ensure the smooth operation of the sales team.
ESSENTIAL DUTIES
Sales Support
• Support the sales team with meeting preparations, presentations, and price quotes.
• Generate and distribute daily, monthly, and quarterly sales, broker, and distributor reports.
• Create and file master price quotes for prospects and customers.
• Generate ad-hoc reports as requested by the sales team.
• Maintain databases of sales records and respond to concerns to ensure customer satisfaction.
• Send sales and executive leadership team (ELT) reporting updates on important stock.
Meeting Coordination
• Schedule and organize trade shows, managing documentation, product transport, and appointment preparations.
• Coordinate and send out meeting agendas in advance and alert required team members.
• Take notes and compile/send feedback from meetings.
• Assist in coordinating meeting scheduling and communication prior to/during shows.
Reporting and Analysis
• Regularly update and send key Pivot and Sales reports to the sales team.
• Produce monthly broker reports (AWG HGS, UNFI SV, KeHe).
• Prepare daily and weekly sales reports, including updates to BloomGrowth scorecard.
• Generate OOS Item Distribution report and assist with allocation calculations.
Customer and Vendor Management
• Set up new customers, brokers, and prospects in the network and SAO systems.
• Manage Repositrak to keep customer information updated.
• Obtain and submit customer-specific documents, including compliance certificates and insurance forms.
• Update pricing data, customer info sheets, and handle price discrepancies.
Trade Shows
• Manage all aspects of tradeshows, including registration and necessary administrative documents.
• Coordinate travel details and finalize sample requests for shows.
• Track show expenses and ROI, and gather feedback for improvements.
Sample Requests
• Act as the main point of contact (POC) for new sample requests.
• Fill out and submit sample request forms, coordinating follow-ups and tracking information.
CRM Management
• Serve as administrator for Pipedrive, managing data and generating routine reports.
• Train domestic and international sales teams on Pipedrive usage and new capabilities.
• Manage, track, and update processes through Pipedrive.
Processes and Procedures
• Analyze operational processes causing delays and propose solutions.
• Communicate any changes to all affected groups and provide reminders on processes.
• Maintain templates for repeated tasks to speed up delivery.
International Coordination
• Main POC for all international customer orders and customer service.
• Assist with international forecasting processes and communicate with the China team for inventory planning.
• Update the SAP system with relevant information as needed.
General Administrative Support
• Complete various administrative tasks and other duties as requested.
• Maintain strong knowledge of industry trends and company operations.
• Collaborate with Product Development on new item launches and required company information in vendor portals.
QUALIFICATIONS & SKILLS
• A minimum of three years of experience in a similar role within the retail or consumer goods packaging industry; prior experience in the beauty or cosmetics sector is preferred.
• Bachelor's degree in Business Management or a related field preferred.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and sales applications.
• Excellent communication skills, with strong leadership and interpersonal abilities.
• Highly organized and detail-oriented, with exceptional time-management skills.
• Ability to adapt in a fast-paced and constantly changing environment.
• Familiarity with CRM systems is a plus.
