Position Summary:

The Temporary Development Operations Assistant provides essential data entry, gift processing, and administrative support to the Development team. This role is responsible for accurately entering and maintaining donor and gift records in the DonorPerfect CRM, preparing gift reports, completing scholarship gift documentation, and supporting data quality and records management initiatives. The position also assists with donor acknowledgment communications and helps ensure timely and accurate tracking of institutional outreach activity. This is an excellent opportunity for an individual with strong attention to detail and an interest in nonprofit fundraising operations.

Gift Processing and Data Entry:

  • Process and enter charitable gift information into the DonorPerfect CRM with a high degree of accuracy, including creating new constituent records and updating existing donor records as needed.
  • Complete scholarship gift documentation and associated administrative forms related to scholarship donations and fund activity.
  • Collect, organize, and maintain supporting documentation for gifts, including electronic records and donor correspondence, in accordance with departmental procedures.


Reporting and Financial Coordination:

  • Prepare and distribute weekly gift reports for the Development and Finance teams, ensuring timely and accurate tracking of all contributions received.
  • Assist with reconciliation and verification of gift data to support accurate financial reporting and audit readiness.


Donor Acknowledgment and Stewardship:

  • Generate, print, and coordinate the mailing of donor acknowledgment letters and other stewardship communications in a timely manner consistent with organizational standards.
  • Maintain accurate records of acknowledgment activity and flag any discrepancies or outstanding acknowledgments for supervisor review.


Data Quality and Records Management:

  • Support data quality initiatives by reviewing and flagging potential duplicate constituent records in DonorPerfect and assisting with record cleanup and standardization efforts.
  • Assist with records management and archival projects, including organizing and archiving historical gift documentation from the CRM.
  • Assist as needed with tasks related to the conversion from the DonorPerfect CRM to Jenzabar Advancement.

Presidential Office Contact Reporting:

  • Enter and maintain meeting contact reports from the President’s Office in DonorPerfect to support donor relationship tracking and institutional outreach documentation.
  • Ensure contact reports are entered accurately and in a timely manner, coordinating with appropriate staff as needed.


Requirements

Required Qualifications:

  • Associate degree in Business Administration, Accounting, Information Systems, or a closely related field. (Equivalent combinations of training and database experience will be considered.) 
  • 1–2 years of experience in high-volume data entry, administrative office operations, bookkeeping support, or database record maintenance. 


Required Knowledge, Skills, and Abilities:

  • Data Integrity & Accuracy: Exceptional attention to detail with a proven tracking record of accurately processing financial records, gift entry, or spreadsheet tracking updates under tight deadlines. 
  • Database Management: Basic proficiency or hands-on familiarity working inside a structured CRM environment, donor tracking system, or database network (such as DonorPerfect) to input profiles, clear duplicates, and log meeting notes. 
  • Software Proficiency: Strong administrative skills using Microsoft Office Suite, specifically managing data columns, filters, and records within Microsoft Excel. 
  • Discretion & Compliance: Ability to systematically manage highly sensitive financial documentation, scholarship gift files, and confidential donor information with absolute institutional compliance. 


Preferred Qualifications:

  • Prior experience operating within non-profit fundraising administration, development offices, or higher education operations. 
  • Familiarity or direct exposure to the transition or migration between modern database systems (specifically DonorPerfect and Jenzabar Advancement software). 

Supervisory Responsibilities:

This position has no supervisory responsibilities.


Physical Requirements:

  • Ability to sit, stand, and walk for extended periods, particularly when assisting with events and donor tours on campus.
  • Ability to lift and carry up to 25 pounds occasionally to transport event materials, signage, and supplies.
  • Ability to operate standard office equipment and mobile devices or digital cameras to capture event media.
  • Ability to respond to operational needs outside of normal working hours, including occasional evenings or weekends, to support scheduled events.

Work Environment:

This position operates primarily in a professional office environment, with regular presence on campus required to assist with in-person events and donor tours. Occasional evening or weekend availability is required to support events. Our college is an in-person institution. Campus presence is the default expectation for all employees. In-person presence remains the expectation and the standard for all staff. Flex arrangements are a discretionary privilege, not a right, and may be modified or discontinued if it is determined that flex arrangements are diminishing service quality, team cohesion, or responsiveness to students, external partners, and colleagues. The student experience and fidelity of institutional operations take priority over individual schedule preferences.


The salary for this position is $25.00 per hour. This role will be 25-30 hours a week and this position is not eligible for benefits.
