We are seeking a highly organized, detail-oriented individual to serve as our Faith Formation Office Coordinator. As the welcoming face of our Faith Formation Office, you'll support Kindergarten through 12th Grade Faith Formation while assisting families, volunteers, and adults inquiring about Faith Formation and OCIA. Position Overview:
The Faith Formation Office Coordinator works closely with the Director of Evangelization & Catechesis to oversee the day-to-day administrative operations of the Faith Formation Office. As the primary staff member in the office during regular business hours, this position welcomes visitors, answers phones, responds to inquiries, and provides exceptional customer service to families, volunteers, and parishioners. The coordinator supports Kindergarten through 12th Grade Faith Formation and serves as the primary administrative contact for Adult Faith Formation and OCIA inquiries and registrations. Through strong organization, communication, and attention to detail, this position helps create a welcoming and well-organized environment that supports the parish's mission of forming disciples of all ages.
Qualifications & Skills:
• Highly organized with strong attention to detail and follow-through.
• Ability to manage multiple priorities, deadlines, and moving parts.
• Strong administrative, communication, and problem-solving skills.
• Bilingual (Spanish & English) strongly preferred.
• Proficiency in Microsoft Office (Word, Excel, Outlook) and digital recordkeeping systems.
• Self-starter who can work independently while supporting a team.
• Welcoming, service-oriented approach when working with families, volunteers, and parishioners.
Key Responsibilities:
• Serve as the primary office contact during business hours by answering phones, welcoming visitors, responding to emails, and assisting families, volunteers, catechists, and parishioners.
• Coordinate and organize Kindergarten through 12th Grade Faith Formation classes, registrations, and sacramental preparation programs (English & Spanish). Serve as the primary contact for Adult Faith Formation and OCIA inquiries, registrations, and administrative support.
• Manage calendars, schedules, and program logistics, including registrations, events, retreats, and sacramental Masses.
• Communicate clearly and consistently with parents, catechists, volunteers, and parish staff.
• Work with the Safe Environment co-coordinator and Faith Formation team to ensure volunteers are certified and current with required training.
• Track volunteer compliance and maintain accurate certification records.
• Support volunteers with training needs, including troubleshooting issues and coordinating alternative options as needed.
• Track tuition, donations, and assist with weekly deposits.
• Translate documents and assist with bilingual communication as needed.
• Provide coordination and support for events, including occasional evenings and weekends as required.
