Job Description
Hyde Park School seeks to hire a Front Desk Coordinator. Candidates must have a passion for working with children, families, faculty, and administration in a collaborative community. This individual will be trained in CPR, first aid, and building security procedures. *This is a year-round position, with responsibilities continuing through the summer months. Summer time off is determined by the academic calendar when the offices are closed.
Duties and Responsibilities:
- Supports the mission of the school and demonstrates a professional, collaborative and caring demeanor when engaging the children and other faculty and staff members.
- Serves as the initial point of contact for all visitors to the school.
- Assists with maintaining a safe and secure school entrance in coordination with school leadership, building maintenance, and security officers.
- Maintains an organized, welcoming, and efficient front office environment.
- Promptly opens the school entrance each morning at 7:15am.
- Stays until 4pm with students whose families are running late.
- Greets all visitors professionally and with hospitality aligned with our core values.
- Maintains confidentiality regarding student, family, and personnel information.
- Answers and directs incoming phone calls and emails in a timely and professional manner.
- Communicates clearly and professionally in person, by phone, and electronically.
- Screens all visitors and enforces visitor policies and procedures.
- Oversees and maintains equipment to print visitor badges.
- Coordinates all student early dismissal or late arrivals.
- Coordinates escorts for students to and from the classroom.
- Serves as a member of the building security team by assisting during emergency drills and campus emergencies. Including supporting the implementation of campus emergency procedures.
- Assists with lower school morning and after school carpool, as well as creates carline signs for Speedway.
- Accepts mail or items for faculty and coordinates distribution.
- Assists with ordering office supplies.
- Coordinates substitute sign in/out.
- Communicates with the lunch program for forgotten or missing lunches.
- Coordinates with maintenance requests.
- Maintains Lower and Middle School Google Calendar.
- Reserves rooms for Lower and Middle School through the reservation system.
- Oversees office aides.
- Monitors student check-in and check-out procedures.
- Maintains student attendance records and reports weekly absence/tardy lists to Assistant Principals.
- Maintains doctors notes and enters absences into FACTS.
- Supports faculty as needed.
- Helps coordinate building maintenance or facility needs.
- Helps coordinate and assist with additional administrative tasks determined by the Principals.
Requirements
- Highly qualified candidates will hold a Bachelor’s degree.
- Skilled at learning computer software quickly and confidently including Google Suite and school database programs.
- Utilizing discretion while dealing with confidential school information.
- Calm and collected, especially serving as a gatekeeper of the school.
- Ability to be efficient, multi-task well, timely, and professional in tasks and communication.
- Ability to work year-round, supporting the school during the summer months.
