We are seeking an enthusiastic and dedicated Construction Administrator to join our growing team. The Construction Administrator will support the construction team and ensure accurate documentation, coordination, and tracking throughout all phases of multifamily construction projects.
The candidate chosen for this position will be based out of our corporate office in Carlstadt, NJ.
Responsibilities:
- Request, review, and track contactor insurance certificates.
- Ensure all subcontractors meet project and company insurance requirements prior to project engagement.
- Upload and maintain project drawings and documentation in Procore.
- Ensure proper version control and accessibility of all project files.
- Assist with creation and management of commitments and change orders in Procore.
- Maintain accurate records of contract documentation and revisions.
- Assist with the preparation, distribution, and tracking of bid packages to subcontractors and vendors.
- Solicit and coordinate subcontractor bids for multifamily construction projects.
- Maintain bidder lists and ensure subcontractors receive current drawings, specifications, and addendums.
- Track bid submissions and assist with bid tabulations and comparisons.
- Coordinate with project managers and estimating teams to ensure complete and accurate bid documentation.
- Follow up with subcontractors regarding bid status, scope clarifications, and required documentation.
- Communicate with project managers, accounting, estimating, and field teams to support project execution.
- Coordinate information flow between departments to maintain project timelines and compliance.
- Support construction team with reporting, tracking logs, and documentation needs.
- Maintain organized up-to-date project records.
- High School or GED education
- 3+ years of experience working in a construction or real estate development company
- Ability to thrive in a fast-paced environment
- Ability to work within a team (Professional, courteous, friendly demeanor).
- Working knowledge of Outlook, Word, Excel, Procore
- Detail oriented
