 Job Summary


Dermatology Associates of Rochester is seeking an experienced Registered Nurse or Nurse Practitioner to join our leadership team as Clinical Operations Manager. This individual will oversee the daily operations of the clinical team while fostering a culture of excellence, accountability, collaboration, and continuous improvement.

Working closely with physician leadership and administration, the Clinical Operations Manager ensures efficient clinic operations, exceptional patient care, regulatory compliance, and ongoing staff development. This position is ideal for an experienced clinical leader who enjoys building high-performing teams, improving systems, and leading operational excellence — while remaining hands-on in clinical care as needed, consistent with license scope.


Primary Responsibilities


Clinical Leadership & Team Management

• Provide day-to-day leadership and support for the clinical team.

• Coach, mentor, and develop clinical support staff (medical assistants and nurses).

• Conduct regular one-on-one meetings and provide ongoing performance feedback.

• Lead clinical team meetings, pathology meetings, and daily huddles.

• Participate in weekly leadership meetings.

• Develop monthly clinical staffing schedules; manage daily staffing, call-ins, and coverage.

• Partner with HR on hiring, onboarding, coaching, PTO approvals, and performance management, including Performance Improvement Plans as needed.


Clinical Operations

• Oversee daily clinical staffing, scheduling, and clinic flow, including pathology and procedure-room workflows.

• Develop and continually improve clinical workflows across all departments and locations.

• Ensure proper instrument processing, sterilization, and autoclave procedures, including coordination of annual instrument sharpening and preventive equipment maintenance.

• Coordinate implementation of new services, technology, and operational initiatives.

• Identify and act on opportunities to improve efficiency and the patient experience.

• Ensure consistency in clinical practice standards across all practice locations.


Quality, Safety & Compliance

• Promote adherence to clinical protocols, standard operating procedures, and infection prevention standards, including specimen handling, medication safety, and documentation.

• Oversee emergency preparedness initiatives, including BLS certification tracking and renewal.

• Support OSHA compliance and clinical safety protocols in partnership with the practice Safety Lead.

• Monitor compliance with regulatory requirements and accreditation standards.

• Lead quality improvement initiatives and clinical audits; investigate workflow issues and implement corrective actions.


Education & Training

• Lead onboarding and orientation for new clinical staff.

• Develop and maintain competency programs and training documentation.

• Coordinate continuing education and in-service training for clinical staff.

• Reinforce practice policies and professional standards, including dress code, attendance, and workplace expectations.


Inventory, Vendor & Administrative Oversight

• Oversee inventory management and clinical equipment maintenance across all clinical departments, including ordering and vendor coordination for medical supplies, pharmaceuticals, and clinical services.

• Maintain appropriate inventory levels and minimize waste.

• Maintain and develop clinical policies, procedures, and operational documentation.

• Assist with budgeting and resource planning for the clinical department.

• Maintain proficiency in practice systems, including the EHR, scheduling, and payroll/HR platforms.

Requirements

Minimum Qualifications


• Active, unrestricted RN or NP license in New York State.

• Minimum of 5 years of clinical experience.

• Previous leadership or management experience required.

• Strong working knowledge of clinical operations and applicable regulatory standards.

• Demonstrated success leading teams and implementing process improvements.

• Excellent communication, organizational, and problem-solving skills.

• Experience in dermatology, plastic surgery, ambulatory care, or another physician practice setting.

• Familiarity with EHR-based clinical workflows and quality AI reporting tools.

• Experience supporting practice growth initiatives, such as service line expansion or new provider onboarding.  


Physical Demands and Work Environment

This role is performed in a fast-paced outpatient dermatology and specialty surgical practice with frequent interruptions and shifting priorities. Requires regular interaction with patients, clinical staff, providers, and practice leadership across multiple locations and procedure areas. Additionally, this role requires the ability to stand and walk for extended periods throughout clinical shifts, assist with patient positioning and transfers, and perform tasks requiring manual dexterity such as instrument handling and documentation. Must be able to lift up to 25 pounds occasionally (supplies, equipment). Requires close visual work for procedures, charting, and screen-based tasks.
