JOB SUMMARY
The Assistant Customer Service Representative supports the Customer Service team by maintaining accurate scheduling, completing critical data entry tasks, and assisting with administrative functions that ensure smooth day-to-day operations. This role plays a key part in supporting warranty and service execution for residential and multi-family interior surfaces projects.


The Assistant Customer Service Representative works closely with Customer Service Representatives, internal operations personnel, field teams, and trade partners to ensure information is accurate, up to date, and properly communicated. This is a fast-paced, detail-driven position that requires adaptability, strong organizational skills, and a team-first mindset.


ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Maintain and update the Customer Service schedule with a high level of accuracy and timeliness.
  • Perform data entry tasks related to service requests, work orders, internal tracking systems, and reports. 
  • Provide administrative support for Customer Service operations and departmental initiatives.
  • Assist in covering CSR responsibilities during absences, ensuring continuity of communication and service.
  • Review and interpret work orders from trade partners and route or respond appropriately.
  • Help ensure all documentation is complete, accurate, and aligned with company standards.
Requirements

EDUCATION, EXPERIENCE & QUALIFICATIONS

  • Strong attention to detail and organizational skills
  • Ability to manage multiple tasks in a fast-paced, changing environment
  • Effective written and verbal communication skills
  • Proficiency in Microsoft Office (Outlook, Excel, Word)
  • General computer proficiency and ability to learn internal systems
  • Basic math and problem-solving skills
  • Strong work ethic, reliability, and consistent attendance
  • Ability to work collaboratively and take direction while maintaining a positive attitude
  • Experience in the interior surfaces or construction industry is a plus, but not required
  • Ability to read, analyze, and interpret work orders, procedures, and customer communications in English
  • Ability to communicate clearly and professionally in both written and verbal formats

PHYSICAL DEMANDS

  • The employee is regularly required to sit for extended periods, use a computer (typing and mouse), and communicate via phone and email. Occasional standing, walking, and reaching may be required. WORK ENVIRONMENT

  • This position is based in an in-office, shared workspace environment with frequent interaction among team members. The role requires consistent communication with internal teams, field personnel, and trade partners. High volumes of emails and phone communication are typical, and timely responses are expected.
