Position Summary

The Plant Administrative Assistant provides administrative, clerical, and operational support to the manufacturing facility. This position serves as a central point of contact for plant employees, management, vendors, and visitors while ensuring efficient office operations. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced manufacturing environment with 30+ employees.


Essential Duties and Responsibilities

  • Provide administrative support to the Plant Manager and plant leadership team.
  • Prepare reports, presentations, correspondence, and other business documents.
  • Maintain organized filing systems, both electronic and paper-based.
  • Answer and direct incoming phone calls, emails, and visitor inquiries.
  • Assist with employee onboarding and orientation activities.
  • Coordinate training schedules and assist with maintaining training records.
  • Support employee engagement activities, meetings, and company events.
  • Assist with production reporting, data entry, and recordkeeping.
  • Maintain plant forms, logs, and operational documentation.
  • Support inventory documentation and purchasing administration.
  • Coordinate office and plant supply orders.
  • Assist with scheduling and communication of plant announcements.
  • Maintain office equipment and coordinate service requests.
  • Order and manage office supplies and consumables.
  • Coordinate visitor sign-in procedures and facility access.
  • Perform other duties as assigned to support plant operations.
Requirements

Qualifications

Education and Experience

  • High school diploma or GED required.
  • Associate degree in Business Administration or related field preferred.
  • Minimum 2-3 years of administrative experience required.
  • Manufacturing, industrial, or plant environment experience preferred.

Knowledge, Skills, and Abilities

  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
  • Ability to manage multiple projects and meet deadlines.
  • Strong attention to detail and accuracy.
  • Ability to maintain confidentiality and professionalism.
  • Experience working with ERP systems, timekeeping software, or HRIS systems is a plus.
  • Ability to work independently and collaboratively with cross-functional teams.

Physical Requirements

  • Ability to sit, stand, and walk throughout the workday.
  • Ability to occasionally lift up to 25 pounds.
  • Ability to travel between office and production areas as needed.

Work Environment

  • Manufacturing facility with approximately 30+ employees.
  • Combination of office and plant floor environment.
  • Exposure to moderate noise levels and manufacturing operations.
