Position Summary
The Plant Administrative Assistant provides administrative, clerical, and operational support to the manufacturing facility. This position serves as a central point of contact for plant employees, management, vendors, and visitors while ensuring efficient office operations. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced manufacturing environment with 30+ employees.
Essential Duties and Responsibilities
- Provide administrative support to the Plant Manager and plant leadership team.
- Prepare reports, presentations, correspondence, and other business documents.
- Maintain organized filing systems, both electronic and paper-based.
- Answer and direct incoming phone calls, emails, and visitor inquiries.
- Assist with employee onboarding and orientation activities.
- Coordinate training schedules and assist with maintaining training records.
- Support employee engagement activities, meetings, and company events.
- Assist with production reporting, data entry, and recordkeeping.
- Maintain plant forms, logs, and operational documentation.
- Support inventory documentation and purchasing administration.
- Coordinate office and plant supply orders.
- Assist with scheduling and communication of plant announcements.
- Maintain office equipment and coordinate service requests.
- Order and manage office supplies and consumables.
- Coordinate visitor sign-in procedures and facility access.
- Perform other duties as assigned to support plant operations.
Requirements
Qualifications
Education and Experience
- High school diploma or GED required.
- Associate degree in Business Administration or related field preferred.
- Minimum 2-3 years of administrative experience required.
- Manufacturing, industrial, or plant environment experience preferred.
Knowledge, Skills, and Abilities
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
- Ability to manage multiple projects and meet deadlines.
- Strong attention to detail and accuracy.
- Ability to maintain confidentiality and professionalism.
- Experience working with ERP systems, timekeeping software, or HRIS systems is a plus.
- Ability to work independently and collaboratively with cross-functional teams.
Physical Requirements
- Ability to sit, stand, and walk throughout the workday.
- Ability to occasionally lift up to 25 pounds.
- Ability to travel between office and production areas as needed.
