Location: Ashburn, VA (must live within driving distance)

Schedule: Monday – Friday 

Hours: Full-time, 40-hours/week

Position Summary

The Sales Support Administrator provides administrative, operational, and quoting support to a team of business development and sales professionals within our organization. This role is responsible for supporting the sales lifecycle, maintaining customer and opportunity data, coordinating quoting and ordering activities, and ensuring timely and accurate communication between sales, operations, contracts, and executive leadership.


Requirements

Essential Duties and Responsibilities

  • Provide day-to-day administrative support to the sales team.  
  • Maintain and update CRM systems with accurate customer, opportunity, and pipeline information.  
  • Track sales activities, meetings, customer interactions, and opportunity milestones.  
  • Generate sales reports, dashboards, forecasts, and pipeline summaries for management.  
  • Prepare and process sales documentation, quotes, Order packages, and other business documents.  
  • Maintain organized electronic filing systems for opportunities, quotes, and product delivery records.  
  • Track action items and follow up with stakeholders to ensure timely completion.  
  • Assist with onboarding and training new sales team members and maintaining sales process documentation. 
  • Enter actual time worked, once complete, at the end of the day, or no later than 10:00 a.m. the following workday, and submit timesheets at the end of each pay period.
  • Monitor RavenTek email on a regular basis.
  • Complete required compliance training as assigned.
  • Other duties as assigned.

Knowledge and Critical Skills

  • Proficiency with Microsoft Office Suite, particularly Excel, Word, PowerPoint, and Outlook.
  • Strong organizational, communication, and multitasking skills.  
  • Ability to handle sensitive and confidential information with discretion.  
  • Strong attention to detail and commitment to accuracy.
  • Ability to work independently while supporting multiple sales professionals. 
  • Familiarity with government contracting terminology, FAR regulations, and procurement processes preferred.  
  • Knowledge of quoting management and business development processes preferred.  
  • Familiarity with Government GWAC Management (SEWP, CIO-CS, ITES, etc.) preferred.

Education & Work Experience

  • Associate's degree or equivalent work experience; bachelor’s degree preferred.  
  • 2+ years of administrative, sales support, business development support, or related experience.  
  • Experience supporting a government contractor, federal sales team, or professional services organization preferred.
  • Experience supporting federal, state, or local government sales efforts preferred.  
  • Experience with SAM, GovWin, Deltek, GSA, or similar government opportunity tracking tools preferred.  
  • Experience with CRM platforms such as Salesforce, HubSpot, or Microsoft Dynamics.

Work Environment

Employee will be working indoors in an office environment with other people. Potential moderate temperature fluctuations. Typical indoor and computer related noise level, and typical office, paper, and equipment related dust. Exposure to video display terminals occurs on a regular basis.


Physical Demands

To successfully perform the essential functions of the job, the employee needs to be able to sit at a workstation for extended periods; use hand(s) to handle or feel objects, tools, or controls; reach with hands and arms; talk and hear; see to read printed materials and computer screens; mobility to work in a typical office setting. Ability to work on desktop or laptop computer for extended periods of time reading, reviewing/analyzing information, and may be required to provide recommendations, summaries and/or reports in written format. Must be able to effectively communicate with others verbally and in writing. Employee must be able to lift and/or move moderate amounts of weight, typically up to 20 pounds. Regular and predictable attendance is essential.
