Position Description

The HR Administrator is responsible for the day-to-day execution of Hosanna's Human Resources function, including recruiting logistics, onboarding and offboarding, HRIS and personnel records, payroll coordination, benefits enrollment, leave administration, and compliance recordkeeping. This role works in close partnership with Hosanna's Fractional HR Partner, an outsourced advisor who sets HR strategy and policy and provides guidance on complex or higher-risk matters. The HR Administrator is the on-the-ground point of contact for staff and ensures HR operations run smoothly, accurately, and on schedule. This position is part-time 25 hours per week in office.


Responsibilities

  • Post open positions, coordinate candidate screening and interview scheduling, and manage communication with candidates.
  • Extend offers in line with approved compensation bands and coordinate background checks.
  • Own onboarding logistics: new hire paperwork, Paylocity setup, first-day/first-week checklist, and orientation scheduling.
  • Manage offboarding logistics, including exit checklist, final pay coordination, and system access removal.
  • Partner with hiring supervisors to define role requirements and create compelling job descriptions.
  • Serve as the primary administrator of Paylocity — personnel records, timekeeping, PTO tracking, employee status changes, and payroll coordination with Accounting.
  • Process leave requests (PFMLA, personal leave, etc.), track eligibility and documentation, and file required state compliance reports.
  • Coordinate mandatory training (harassment prevention, mandated reporting) and track staff completion.
  • Administer benefits enrollment logistics, including processing elections and answering routine staff questions.
  • Support the annual review cycle: distribute forms, track submission and increase-entry deadlines, and compile results for leadership.
  • Maintain accurate, compliant personnel files and support data privacy practices.
  • Draft, maintain, and update employee handbooks and policies, ensuring Hosanna is in compliance with current state, federal, and local employment laws. Stay abreast of updated legislation, such as ADA, ACA, and leave laws.
  • Distribute handbook and policy updates and track signed staff acknowledgments.
  • Serve as the first point of contact for routine employee questions; escalate complex employee relations or compliance matters to the Fractional HR Partner.
  • Pull and prepare routine HR data and reports for leadership review.
Requirements

Education/Experience

  • Associate's or Bachelor's Degree – preferred
  • HR administrative or coordinator experience – required – 2+ years
  • Hands-on experience with an HRIS system (preferably Paylocity) – required
  • Additional related certification – a plus

  • Comfortable operating within established policies and procedures, while knowing when to escalate.
  • Tech-savvy and comfortable learning and maintaining HRIS/payroll systems.
  • Ability to take initiative and work with minimal supervision on recurring tasks.
  • Ability to collaborate well across Accounting, IT, campus leaders, and an external HR advisor.
  • Understanding of pastoral employment nuances a plus.

Working Conditions & Physical Demands

  • Schedule will include working evenings, weekends, and extended hours as required by ministry needs. This includes Christmas Eve and Easter.
  • Extensive standing, walking and sitting for extended periods of time.
  • Repetitive keyboard and mouse movements requirements.
  • May require lifting up to 25 lbs.
Salary Description
$26-$30 per hour
