Job Summary
The Executive Assistant to the CEO is a high trust, high visibility role supporting the CEO of a fast growing, high profile business. This person will own the CEO's calendar, inbox, travel, and day to day operating rhythm, while also representing the CEO externally with polish and professionalism in front of large scale investors, high profile celebrities, partners, and other key stakeholders. The role requires someone who is unflappable under pressure, resourceful in ambiguity, and energized rather than drained by a fast moving, high stakes environment. In addition to executive support, this person will provide a light layer of office management for the La La Land Cafe LA headquarters, helping ensure the space runs smoothly day to day.


Duties and Responsibilities

Calendar and Schedule Management

  • Own and proactively manage the CEO's calendar, resolving conflicts, prioritizing competing requests, and protecting time for the CEO's highest value work.
  • Anticipate scheduling needs ahead of time rather than reacting to them, building in buffer, prep time, and travel windows as needed.
  • Coordinate logistics for internal meetings, board touchpoints, investor meetings, and external engagements, including venue, materials, and attendee confirmation.
  • Adjust quickly and calmly when priorities shift, which they will, and communicate changes to all relevant parties without dropping details.

Email and Communication Management

  • Monitor and triage the CEO's inbox, flagging what is urgent, drafting responses where appropriate, and filtering out what does not need the CEO's direct attention.
  • Maintain a clear system for tracking outstanding items, follow ups, and commitments so nothing falls through the cracks.
  • Serve as a professional, polished point of contact on the CEO's behalf with internal leaders, investors, partners, and other external stakeholders.

External Representation and Investor and VIP Coordination

  • Represent the CEO externally with a high degree of polish and professionalism, including in interactions with large scale investors and high profile celebrities.
  • Plan and coordinate logistics for investor meetings, VIP visits, and high profile events, anticipating the level of detail and discretion these interactions require.
  • Exercise strong judgment and discretion when handling sensitive, confidential, or high visibility information.
  • Build professional, trust based relationships with executive assistants and staff of investors, partners, and other key external contacts.

Travel Management

  • Plan, book, and manage all aspects of the CEO's travel, including flights, ground transportation, hotels, and detailed itineraries.
  • Anticipate and troubleshoot travel disruptions in real time, adjusting plans quickly and calmly.
  • Coordinate travel that supports multi-city, multi-state business needs as the company continues to grow.

Office Management (LA Headquarters)

  • Support day to day office management for the LA headquarters, including supplies, vendor coordination, and general upkeep of the space.
  • Help coordinate in-office meetings, guest visits, and team events, ensuring the space is presentation ready at all times.
  • Serve as a point of contact for facilities and vendor issues at the LA HQ, escalating as needed.

Ad Hoc and Special Projects

  • Take on ad hoc business requests and special projects on behalf of the CEO, ranging from research to logistics to personal errands that support the CEO's ability to focus on the business.
  • Move fluidly between structured, recurring responsibilities and unstructured, in the moment requests without losing organization.
  • Maintain flexibility to support evening or weekend needs on occasion, given the pace and nature of the CEO's role.
Requirements

 Knowledge, Skills, and Abilities

  • Proven experience supporting a CEO or senior executive at a fast growing business, ideally in a high growth or high pressure environment.
  • A high level of polish, professionalism, and discretion, with demonstrated comfort interacting with large scale investors, high profile individuals, and other key external stakeholders.
  • Tough and resilient, with the ability to manage a highly driven, fast paced executive without becoming overwhelmed.
  • Highly agile and organized, able to reprioritize quickly as demands shift throughout the day.
  • Strong proficiency in Microsoft Suite (Outlook, Word, Excel, PowerPoint) and general technical savvy, including comfort learning new tools and systems.
  • High energy, friendly, and personable, with strong interpersonal skills and a natural ability to build rapport.
  • Excellent written and verbal communication skills, with the judgment to represent the CEO's voice accurately and professionally.
  • Strong problem solving skills and the ability to work independently with minimal oversight.

Qualifications

  • Education: Bachelor's degree preferred, or equivalent professional experience.
  • Experience: Typically requires 5 or more years of experience as an Executive Assistant, ideally supporting a CEO, founder, or other senior executive at a fast growing company.

Additional Information: This position is in person, located at the La La Land Cafe headquarters in Los Angeles, CA. Some travel may be required to support the CEO's schedule and business needs. 

Salary Description
Range between 100k-115k
