JOB SUMMARY
The Mail Processing Clerk is responsible for organizing, classifying, and maintaining patient and provider communications and ensuring timely delivery to the United States Postal Service (USPS). This role ensures that all outgoing physical communications are accurately printed and processed to the appropriate recipients in compliance with regulatory and organizational standards. The Mail Processing Clerk supports various operational areas including but not limited to Utilization Management, Care Management, and Claims.
MINIMUM & PREFERRED QUALIFICATIONS
Education/Training
Minimum: High School diploma or equivalent.
Preferred: Training, coursework, or certification in health information management, medical records, or related field.
Experience
Minimum: At least one year of experience in health information management, medical office operations, records indexing, data entry, or related field.
Preferred: At least two years of EHR mail or indexing experience. Experience working in a HIPAA-regulated healthcare environment. Previous experience with document management or healthcare scanning/indexing systems.
Any combination of educational and work experience that would be equivalent to the stated minimum requirements would qualify for consideration of this position.
Certification(s)
Registered Health Information Technician (RHIT), Certified Healthcare Documentation Specialist (CHDS), and/or Certified Medical Administrative Assistant (CMAA) preferred.
Skills, Knowledge & Abilities

PHYSICAL, MENTAL & ENVIRONMENTAL REQUIREMENTS

This position requires the ability to remain standing for extended periods while operating the mail processing machines, along with frequent repetitive motions such as typing, clicking, and handling documents. The role may occasionally require lifting items weighing up to 25 pounds, such as files or office supplies. Successful performance requires sustained attention to detail, strong focus, and the ability to maintain mental concentration over long durations. Work is typically performed in a standard office or clinical administrative environment and may involve regular exposure to confidential health information. Additionally, the position requires the capacity to manage stress associated with deadlines, high-volume workloads, and the fast-paced nature of health information operations.
PAY RANGE
$22.00 - $24.00 / hourly
