We're excited to announce a newly created Office Manager position at Legal Aid of Western Missouri. This is a key role at the center of our operations, and a great opportunity for someone who takes pride in keeping things organized and on track.
The Office Manager keeps Legal Aid's Kansas City central office running and supports the organization's administrative operations across all seven offices. This role directly supervises the administrative support staff in our Central office and provides guidance and support to administrative support staff across our other six offices. It also oversees office operations and provides executive administrative support to the senior leadership team. The Office Manager reports to the Deputy Director of Operations and works closely with the Operations Manager, the Facilities Manager, and the leadership team.
Key Responsibilities
Supervision of Administrative Support Staff
- Directly supervise the administrative support staff in the Central Office, setting priorities, managing workflow, and making sure coverage and service stay steady across the office.
- Coach and develop the team, giving regular feedback and handling performance and scheduling.
- Build consistent administrative practices that administrative support staff can follow across all seven offices.
Office Operations
- Manage day-to-day functions at the central office, keeping it well-organized, welcoming, and fully functional for staff and visitors.
- Schedules and coordinates organization-wide events, including all-staff meetings and gatherings.
- Oversee routine office purchasing, supply inventory, and day-to-day vendor contact, keeping office needs met on time and within budget.
- Coordinate with administrative staff across the seven offices to keep office operations consistent and share resources and best practices.
Executive & Administrative Support
- Provide administrative support to the senior leadership team, including scheduling, meeting coordination, document preparation, and correspondence.
- Support the Deputy Director of Operations and Operations Manager with operational projects, tracking action items, and coordinating logistics across functions.
Required Qualifications
- Minimum of 5 years of experience in office management, operations, executive administrative support, or a similar role.
- Experience supervising staff.
- Strong organizational skills and the ability to manage multiple priorities and competing demands, sometimes several at once.
- Excellent interpersonal and communication skills, and comfort working with staff at every level of the organization.
- Proficiency in Microsoft Office and general office technology.
- Demonstrated ability to exercise discretion and maintain confidentiality.
- Commitment to Legal Aid's mission and values.
Preferred Qualifications
- Experience in a nonprofit, legal, or social services setting.
- Experience supporting a senior leadership team.
- Familiarity with office management or purchasing systems.
- Familiarity with multi-site organizations.
Location
This role is an in-person role based out of our Kansas City, Missouri Central Office.
Benefits and Compensation
The salary range for this position is $76,500 - $113,300 on Legal Aid’s formal salary scale. Placement on the range will be based on factors such as years of relevant experience, budget, and internal equity.
