JOB SUMMARY
This part-time, at will position provide frontline support for visitors, clients, and families while ensuring a professional and welcoming environment. This position performs a wide range of administrative and clerical tasks to support day center operations and agency programs. The role requires strong communication skills, attention to detail, and the ability to manage multiple tasks in a fast-paced setting.
ESSENTIAL DUTIES
- Greet and assist visitors, clients and families while maintaining a welcoming and professional reception environment.
- Perform reception duties, including answering multi-line phone calls, directing inquiries, and accurately recording messages.
- Enter and verify day center participant attendance records in accordance with established procedures.
- Maintain an organized and presentable reception and lobby area.
- Provide clerical support for agency operations, including monitoring and replenishing resource materials, brochures, and supplies.
- Perform general clerical duties and administrative tasks as assigned.
- Provide flexible front desk coverage during staff absences, vacations, or peak service periods.
- Other duties as may be assigned and/or requested from time to time in fulfillment of the agency’s mission.
RESPONSIBILITIES
The ALZNI Receptionist greets and assists visitors, answers and directs phone calls, maintains reception and lobby areas, and processes participant attendance records. Additional duties include general clerical tasks and providing flexible front desk coverage during staff absences or high-volume periods.
EDUCATION AND/OR EXPERIENCE REQUIREMENTS
- High school diploma or general education degree (GED);
- Basic computer skills a plus.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED
- Strong verbal, written, and listening communication skills, with the ability to interact compassionately and professionally with individuals facing diverse challenges.
- Ability to maintain confidentiality and demonstrate patience, flexibility, and a positive, diplomatic approach.
- Effective organizational and multitasking skills, with the ability to remain calm and focused under pressure.
- Proficiency in operating office equipment and systems, including multi-line phone systems, printers, copiers, and fax machines.

Work involves managing frequent interactions with clients, families, and staff while handling multiple administrative tasks simultaneously, requiring patience, professionalism, and strong organizational skills and an eye for safety. Duties must be performed with accuracy, confidentiality, and adherence to established procedures, often under time constraints. CONDITIONS OF EMPLOYMENT
- Successful candidate must submit to a pre-employment drug screening, limited criminal history check, driver check and National Sex Offender Registry check. Must pass and maintain compliance with the agency’s background check policy.
- Proof of educational credentials is required at employment.
- Valid driver's license and a dependable vehicle required.
- Must meet the Agency’s required car insurance coverage level at time employment begins and maintain it throughout the duration of employment (Liability Coverage: $100,000/$300,000/$100,000).
- This position has a 90-day probationary period.
