The 22nd Judicial District Attorney’s office is seeking a full time Legal Secretary to support our team.
The employee will enhance the Assistant District Attorney's effectiveness by providing information-management support. The employee will prepare quality legal documents and maintain case and file materials. The employee will assist in court as needed.
Essential Job Responsibilities for this position include, but are not limited to:
· Greets law enforcement, attorneys and public in person or on the telephone; answering or directing inquiries.
· Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics; coordinating case preparation, case filing, and trial.
· Receives, documents, accounts, and prepares for disbursement funds associated with criminal matters.
· Conserves attorneys time by reading, researching, reviewing, verifying, and routing correspondence, reports and legal documents; drafting letters and documents; collecting and analyzing information; initiating telecommunications; organizing case conferences, and attorney meetings; expert witnesses, and other special functions.
· Maintains attorney calendar by planning and scheduling conferences, teleconferences, pre-trial matters, recording and monitoring court appearance dates, pleadings, and filing requirements; monitoring evidence-gathering; anticipating changes in charging or other transaction preparation requirements.
· Represents attorney by communicating and obtaining information; following-up on delegated assignments; knowing when to act and when to refer matters to attorney.
· Documenting and inputting information into prosecutorial software system and other databases as required by office policy.
· Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions; maintaining transcripts; documenting and maintaining evidence.
· Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs.
· Provides back up for other positions based on cross training.
· And any other duties that may be assigned
Knowledge, Skills and Abilities:
· Knowledge of legal terminology, legal documents, court procedures and policies, rules, statutes and procedures pertaining to the court or area of assignment.
· Ability to work in a fast paced, detailed, high volume work environment and adapt to constant change.
· Ability to handle conflict, sensitive matters, emotional and irritated customers, and diverse clientele.
· Ability to work under pressure assuring timelines and accuracy.

· Ability to learn, adapt and utilize new technology; including but not limited to document management.
· Demonstrated proficiency in Word/Word Perfect, Excel, Outlook and other computer software.
· Must show professionalism and dependability skills at all times
· Must have exceptional verbal and internal communication skills
Physical Requirements which include but are not limited to:
· Ability to raise or lower objects from one level or another (includes pushing and pulling) (10lbs – 25lbs)
· Ability to frequently bend and stoop
· Ability to stand and sit for long periods of time
· Ability to read and write the English language
· Ability to have close and distance vision to see details of objects and use a computer
· Ability to hear in the normal audio range
· Ability to be able to speak clearly so that others can understand them
