SURGERY SCHEDULING COORDINATOR
Description

Job Summary:  Front Desk Associate / Pre-Op Coordinator supports the daily operations of the OBL/ASC by checking in surgical patients, verifying patient information, maintaining accurate documentation, preparing and scanning charts, and coordinating required pre-operative records and lab work. This role works closely with physicians, nursing staff, anesthesia, OR staff, and the chart nurse to ensure patients are properly prepared for their procedures and that all necessary documentation is complete and accurate.

Essential Duties / Responsibilities:

 


  • Check in all  surgical patients.
  • For surgical patients, verify the patient's name and date of birth and obtain contact information for their designated driver.
  • Schedule testing and office appointments for patients calling in. For appointments scheduled within 48 hours, notify the Eligibility Team and Home Office by email.
  • Review operative notes for accuracy, including the patient's name and date of birth. If corrections are needed, create a label with the correct information before scanning.
  • Fax operative notes to all physicians copied on the report, as well as any dialysis centers involved in the patient's care.
  • Prepare labels and wristbands for upcoming procedures.
  • Assemble and label charts for upcoming procedures, including the OBL/ASC packet and posting sheet.
  • Distribute daily schedules to nursing staff, anesthesia, OR technicians, and physicians.
  • Provide OR staff with a copy of each posting sheet and the daily schedule at least one week prior to the procedure date.
  • Obtain completed  lab work required prior to procedure.
  • Bring abnormal findings, missing information, or other concerns to the attention of the chart nurse.
  • Scan all pre-operative lab documentation into EHR.
  • Obtain any additional medical records requested by the chart nurse.
  • Perform other duties as assigned.

  • Ability to work collaboratively with patients and clinical staff.


Education and Experience: 

  • High School Diploma or equivalent. Experience in medical office preferred.

Requirements
  • Ability to sit for extended periods while working at a computer.
  • Manual dexterity required for operating office equipment (e.g., computers, phones, fax machines).
  • Ability to lift and carry up to 20 pounds occasionally.
  • Visual acuity is required to perform tasks involving computer screens and paper documents.
  • Ability to move around the office to access files, office machinery, and other equipment.
